Introduction

The Accounting Manager/Controller is responsible for all the accounting activities and functions in a distribution/light manufacturing/assembly type business.

Summary

Manages the accounting/finance function of the organization and the preparation of financial reports and analysis reflecting earnings, profits, expenses, cash balances, and other financial results. Further establishes, develops, enforces and maintains proper accounting practices and safe guards throughout the organization ensuring accurate and efficient accounting practices. Ensures that financial and operating reports accurately reflect the condition of the business and provides reliable information necessary to control operations. Follows through on all accounting activities for the effective function of the financial side of the business. The individual must be a self-starter, dependable, trustworthy, responsible and accountable.

Essential Duties and Responsibilities include the following. Other duties may be assigned

Ensures all business accounting and finance related tasks are completed accurately, timely and in a manner consistent with company policy including, but not limited to: revenue and expenses, invoicing, accounts receivables, collections, receipts, deposits, accounts payable, disbursements, payroll, credit functions, inventory, period ends and closeouts, account reconciliation, cost accounting as well as general journal entries and adjustments. Develops and maintains quality control for the accounting functions.

  • Develop and document business processes and accounting policies to maintain and strengthen internal controls.
  • Manages inflows and outflows of cash and other assets to ensure effective business practices and the best use of resources.
  • Uses professional people skills, external sources and uses other strategies or tools to collect from delinquent accounts. Works with suppliers for the most effective use of resources and opportunities.
  • Develops, analyzes and interprets statistical and accounting information to appraise operating results in terms of profitability, performance against budget, and other matters bearing on the fiscal soundness and operating effectiveness of the organization.
  • Establishes major economic objectives and policies for the company and prepares reports that outline the company's financial position in the areas of income, expenses, and earnings based on past, present, and future operations.
  • Coordinates and directs the preparation of the budget and financial forecasts, institutes and maintains other planning and control procedures (including the cost accounting system), and analyzes and reports variances.
  • Develops a strategic plan to advance the company’s mission and objectives and to ensure meeting the objectives and goals of the department managed.
  • Is responsible for timely compliance to all government/other reporting requirements as well as all federal, state and local tax filings. Ensures all payroll reporting, collections and payments are completed effectively as well as any federal, state, and local government sales tax collections, payments and reporting. Completes all corporate, payroll, and other applicable taxes as directed.
  • Furnishes internal reports, revises and updates reports to be more useful and efficient, and furnishes external reports as necessary.
  • Oversees and is responsible for compliance and regulatory issues pertaining to the financing activities of the organization.
  • Builds forecast models and metrics to accurately predict the outcome of a potential or proposed business transaction, including expansions, mergers, acquisitions, capital projects or divestitures.
  • Directly manages and supervises other staff who assist in the accounting process for efficient use of time and resources for effective results. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
  • Provides for appropriate career building and professional development activities to ensure a climate of growth for all employees and considers future opportunities for staff.
  • Determines depreciation rates to apply to capitalized items and advises management on desirable operational adjustments due to tax revisions.
  • Evaluates and recommends insurance coverage for protection against property losses and potential liabilities.
  • Oversees and has the final responsibility for providing effective financial controls for the organization.
  • Directs and coordinates audits with outside financial auditors; including but not limited to annual audit of financial statements, state and federal government audits.
  • Keeps financial and related software up-to-date and functional throughout the organization.
  • Promotes open and honest communication, mutual respect, and strong teamwork at all levels in the organization and with our outside stakeholders.
  • Adheres to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team.

Competencies/Abilities 

Knowledgeable in all accounting methods and practices involved in a production based environment.Excellent computer and organizational skills and able to supervise others that assist in the accounting process.

  • High level of competence working with financial software systems and report writing.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to analyze business operations and key financial information and recommend strategies to improve performance.
  • Ability and willingness to be part of a team which includes working together cohesively towards a common goal, creating a positive work atmosphere and supporting each other to combine individual strengths to enhance team performance

Knowledge:

Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their application. Understanding of financial accounting, statement preparation and other business calculations

Background and familiarity with standard, recent or average cost.

Language Skills                                                            

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

Mathematical Skills                                       

Must be able to do routine arithmetic calculations. Must have the capacity to recognize numbers by sequence without transposition, be able to locate numerically filed documents quickly and refile accurately.

Computer Skills                                                            

To perform this job successfully, an individual must be proficient using email, word processing, spreadsheets and databases on a personal computer and within a server network. Must have working knowledge of accounting and MRP, EDI portals and CRM systems as well as Microsoft Office including; Microsoft Word, Outlook and Excel. Preferred: Excellent excel proficiencies, computer server operations, security and computer maintenance
