The Department of Plant Sciences is recruiting for an Academic Assistant position. This position in the largest department in the College of Agriculture supports and provides assistance to faculty with teaching and advising responsibilities; interacts with undergraduate students and provides them with administrative guidance and answers inquiries; prepares and maintains scholarship information for the department; and provides office support for faculty, staff and students in our mission of teaching, research and Extension.

Responsibilities include, but not limited to:

Provide administrative support to faculty with a teaching appointment within the department.
  • Provide comprehensive administrative support to faculty members with teaching appointments within the department in their duties as undergraduate advisors
  • Update and maintain undergraduate and graduate course offerings
  • Manage Student Experience Course Surveys (SECS)
  • Coordinate dissemination of information regarding PLSC undergraduate teaching and research fellowships to students and contacts at the School of Education
  • Familiarity with all CC portals concerning student information
  • Assist faculty with CC portals concerning student information
Scholarship Management:
  • Prepare and maintain scholarship information for the department
  • Compile departmental scholarship lists indicating available funds for award
  • Liaise with NDSU Development Foundation regarding submission of scholarship funds, Memos of Understanding, and related inquiries
  • Schedule and coordinate scholarship committee meetings for various disciplines within the department
  • Update and compile scholarship data from NDSU Academic Scholarship system after application deadlines
General Administrative Support:
  • Provide administrative support for PLSC faculty and staff, including greeting visitors and students
  • Manage inquiries and direct office visitors to appropriate individuals in a high-traffic front desk area
  • Serve as backup to other administrative staff during absences or peak workloads
  • Perform tasks requiring independent judgment and initiative when necessary
  • Sort and distribute departmental mail, prepare outgoing mail, and prepare FedEx shipments as needed
  • Perform other duties as assigned
Advertised Salary: $48,000+/yr

Minimum Qualifications:
  • Vocational School certificate/diploma in business career training OR three years of working experience in a fast-paced office environment
  • Accurate and efficient word processing skills to include knowledge and experience using Microsoft Office software (word processing, PowerPoint, spreadsheet, database); ability to quickly learn new or updated computer software
  • Knowledge of general office practices
  • Detail oriented and good organizational skills. Demonstrated ability to problem-solve effectively
  • Ability to handle responsibilities requiring independent judgment with minimum supervision
  • Ability to deal with the public in a professional and courteous manner
  • Cooperate with others as needed; self-starter
  • Punctual, dependable, motivated
Preferred Qualifications:
  • B.S. degree in Business, Communications or related discipline
  • Knowledge of university policies and procedures
  • Knowledge of CampusConnection/PeopleSoft
  • Experience working with a diverse group of students, faculty, and staff
