Job Summary
This individual will provide support for the farm location(s) and support for the farm office team. They will coordinate activities and cooperate with all departments to ensure the overall efficiency of R.D. Offutt Farms operations.

Job Duties Include
  • Answers phones, provides routine information to callers, routes calls, takes and relays messages
  • Greets visitors and provides welcoming presence representing R.D. Offutt Farms
  • Assists farm manager with preparation and mailing of land licenses
  • Report water use to the Department of Natural Resources
  • Compiles, reports, and inputs farming related activity including planting, harvest, chemical, & fertilizer records
  • Coordinate's onboarding paperwork and related forms and activity for the farm employees
  • Organizes all incoming invoices and expense reports and routes to appropriate individuals and ensures correct cost codes and approvals are obtained. Enters invoices accurately into company ERP
  • Coordinate collection of payroll approvals
  • Organizes records and office environment
  • Executive assistant duties and meeting support for office location
  • Maintain building and order supplies
  • This position has no supervisory responsibility but may provide leadership and guidance to temporary staff and/or assist with orientation of new members of the work group. Decision-making is driven by established policy and/or practice; guided by supervision/management
  • Be a self-starter; ability to work independently as well as with other personnel and management
  • Represent self and company in a professional and positive manner
  • Attend required company meetings and training and participate in constructive discussion
  • Follow all safety rules and regulations while performing work assignments and adhere to all policies and procedures as specified in company manuals and as directed in the employee handbook
  • Conduct self in the presence of customers and community so as to present a professional image of R.D. Offutt Company
  • Proactively seek and participate in available company-sponsored training, in an effort to develop and advance knowledge base and skill set
  • Maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service
  • Perform all other duties as assigned by management in a professional and efficient manner
  • Overtime and local travel may be required based on seasonal demands.
Requirements
  • No specific educational degrees required - Associates degree preferred
  • Experience with telephone systems, scanning, and file management
  • Experience with MS Word and Excel and other software products
  • Experience with accounting preferred
  • Ability to read and write simple correspondence in English
  • Ability to communicate effectively in English
  • Ability to communicate effectively in Spanish preferred
  • Ability to maintain welcoming and positive presence in a busy office environment
  • Exceptional communication skills, verbal and written
  • Ability to effectively prioritize and execute tasks in a fast-paced environment
  • Mental dexterity needed to work independently while demonstrating attention to detail and continuous awareness.
  • Candidate must have valid work authorization and be able to work in the U.S. without company sponsorship
