Minimum Hiring Salary/Position Classification: $31,000+/Annual, Full-Time, Benefited, Non-Exempt
Benefits: Includes single or family health care coverage (premiums paid for by the university), basic life insurance, EAP, retirement plan, tuition waiver, annual and sick leave.  Optional benefits available: supplemental life, dental, vision, flexible spending account, supplemental retirement plans.
Work Schedule: Monday - Friday, 8 am - 4:30 pm

The Chemistry Department is looking to fill a permanent, full-time, 12-month Administrative Secretary position. This administrative position will work with the department’s administrative assistant to provide support for the chair and faculty in meeting the teaching, research, public relations and service goals of the department. Duties associated with this position include:

  • Place office supply orders.
  • Prepare and track vouchers and purchase orders.
  • Process department payments to vendors using Perceptive Content. 
  • Direct office work-study student responsibilities.
  • Prepare and mail departmental newsletter.
  • Maintain department website and alumni database.
  • Assist with preparation of reports, including for the department’s accrediting agency and the University.
  • Coordinate special events on and off-campus, including guest speakers and Homecoming activities.
  • Arrange guest travel, accommodations, itineraries, and reimbursements.
  • Respond to student registration requests and support academic needs of department.
  • Assist faculty with the creation of course permission numbers.
  • Prepare documents, signs, posters and duplicate forms on the computer.
  • Maintain departmental digital signage displays.
  • Manage department mail processes.
  • Manage room scheduling; prepare department directory.
  • Answer phone calls and receive visitors; redirect students, faculty and staff as needed.
  • Submit work orders to Facilities as required to maintain building in proper operating condition.
  • Assist electronic technician with software compatibility issues of faculty, students and staff.
  • Manage duplicating processes.
  • Other tasks as assigned by the department Chair and the Administrative Assistant.

Minimum Requirements:
 

  • High school diploma or GED.
  • Two years of office or administrative work experience.
  • Experience with Microsoft Word, Excel, Publisher, and Outlook.
  • Successful completion of a Criminal History Records Check.
