Job Details

Position Description:
This position will aid in the management of the budget, accounting, and HR/Payroll duties of The Challey Institute for Global Innovation & Growth and The Nice Center. The Business Coordinator will oversee all financial activity, including appropriated, non-appropriated, and development foundation funds. This position will be responsible for tasks such as payroll, fund management, policy compliance, etc. This position will also serve as the records management unit coordinator for financial records and is essential to the operation of the Institute and Center. Additionally, this position will provide administrative support to the Director of the Challey Institute.

Job duties include -
Monitor expenditures and track spending in all appropriated, local, and foundation funds.
Approve funding on all payables to ensure appropriate spending and accuracy.
Maintain and report budget balances on a periodic basis to each director and the College Business Manager
Anticipate fiscal year end dates and work with directors and The College of Business' Business Manager to plan for timely and appropriate spending of funds.
Fund reconciling, projections, and planning assistance.
Serve as purchasing agent for the Institute and Center.
Work with the Accounting Office, Budget Office, and other entities on campus on issues that arise.
Records Management.
Attend budget meetings.
Assist the directors with recruiting and hiring.
Process all position changes, rate changes, funding changes, payroll corrections, budget changes as needed.
Complete hires and terminations through manager self service.
Collect and manage position and salary details across the calendar so that necessary actions are taken at the proper time: TA/RA changes, overloads, faculty summer salary, leaves of absence, developmental leaves.
Consider the budgetary effects resulting from all payroll changes.
Comply with NDSU policy/federal policy as it pertains to various types of appointments.
Process timeslips and leave slips for hourly employees.
Maintain records related to work study awards.
Gather GA contracts to submit with payroll forms.
Oversee the termination/separation process or procedures are followed when employees leave.
Assist the Challey Institute Director with various responsibilities placed on him.
Supervise student workers and graduate assistants.
Help organize and manage Challey Institute events.
Help to organize and manage the Institute office space.
Order supplies when necessary.
Answer phones.
Maintain the Director's work appointments and scheduling.
Aid in room reservation and catering orders for meetings and events.

Minimum Qualifications:
  • Bachelor's degree, with a preference for finance or accounting related degrees
  • Bookkeeping/accounting experience, including experience working with accounting software
  • Experience managing an office
  • Proficient in Microsoft Word, Excel, and Outlook
  • Proven experience in problem solving
  • Attention to detail
