Our corporate Executive Assistant plays a role similar to an orchestra conductor that makes all the sections and instruments sound sweeter and more harmonious. While technically they are responsible for providing skilled administrative support to our executive office and leadership, while exercising confidentiality, tact and diplomacy, the role they play in making our division successful is much larger. ESSENTIAL FUNCTIONS: Communicates directives and information inside and outside of the organization on behalf of the hotel division. Responsible for time sensitive and confidential materials. Provides status updates, prepares agendas, correspondence, reports and presentations, maintains offices supplies, etc. Maintains files, records and calendars; typically arranges travel accommodations, coordinates meeting arrangements and monitors and tracks invoices and expense reports. Plan, organize and coordinate internal and external meetings, and prepare and distribute materials, as needed Manage entertainment and promotion donations Ordering of business cards and general supplies Ordering lunch/prep/reservations for meetings Maintain files and follow-up system for department correspondence Plan, organize, and support the execution of events including conferences, meetings, and social events Provide reception desk coverage, mail handling, order supplies, invoice reporting, and kitchen duties Handle theatre ticket ordering/distribution to the corporate office and field Prepare anniversary/birthday cards Maintain and distribute hotel division contact list Provides support to charitable events such as United Way and UPAF Answers guest/customer inquiries and handle any service follow-up as needed Other duties as assigned Position Requirements: Excellent verbal and written communication skills. Ability to interact professionally and effectively with all levels. Ability to read, write and speak English at a native level. Proficiency in Microsoft Office to include Word, Excel, PowerPoint, and Outlook. Ability to prioritize workload based on business needs and problem solve as necessary. 1 - 2 years of experience preferred. Professional, friendly, outgoing personality. Patience, flexibility, and ability to handle pressure. Detail-oriented and dedicated to follow-through in all work to meet deadlines and effectively complete project based assignments. Must possess proficient administrative writing skills.
