Position Summary, Purpose and Objectives: Reporting directly to the Chief Financial Officer, the Office Manager is the key resource for the day to day activities of the office and is responsible for operational support for the entire team as well as a wide range of administrative and general office duties. Principal Duties and Responsibilities:Office Opening (Start Time 8:00am prompt) Manage Office Maintenance; respond to specific requests from department staff; coordinate changes, repairs, and maintenance of office facilities, HVAC, and equipment Manage office supplies/inventory and order when necessary to keep appropriate stocking levels (coffee, paper, & water) Mail and Shipping (in and out) Coordinate and book travel; international travel document preparation Maintain calendars, agendas, and itineraries Guest itineraries and hospitality Manage travel, conferences, and sponsorship. Manage phone, copy machine, key fobs, Provide IT system and software support Prepare work spaces, access, equipment, business cards etc. for new employees Manage the front door and provide general support to visitors Field phone calls; Monitor the company's general email and voicemail Assist in corporate credit card reconciliation Shipment of the annual investor update & K-1 packages Assist all departments with general needs, special projects and research Contact database management and reporting Maintaining the office condition and environment including the kitchen Ensures that administrative procedures are documented and updated as needed; implements process improvements; analyzes opportunities to add value Administer and manage SAP Concur, including review of monthly expense reports Qualifications & Skills:Attention to detail with excellent organizational skillsEnthusiastic and professional with a positive attitude and excellent communication skillsUnderstanding of basic IT functionsExperience with SAP Concur preferredCompetency in Microsoft Office tools (Outlook, Word, Excel, and PowerPoint)Demonstrated ability to efficiently handle multiple tasks and prioritize workload accordingly with the ability to work independently and think critically. Exceptional customer service skillsExcellent verbal and written communications skills required.
