Job Summary:

The Human Resources Assistant is responsible for providing administrative support to the human resources department as well as managing Inland's corporate front desk. The Human Resources Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion and diplomacy. In this position, you must possess the ability to think critically, anticipate the needs of the department, with minimal supervision and be a fearless team player. This role will also be heavily involved in the planning and execution of employee engagement events, communication and celebrations. The Human Resources Assistant position is a highly visible and key role within the
organization and involves interaction with team members at all levels, customers, vendors and visitors.

Essential Duties & Responsibilities:

  • Manages front desk operations including answering corporate telephones in a professional and enthusiastic manner. Appropriately expedites handling of internal and external correspondences and phone calls.
  • Ensures and verifies customers, vendors and guests have the necessary resources for visit to the company (including proper facility access, visitor badges prepared, internet access and availability to refreshments).
  • Plans and organizes all Employee Engagement activities which include such practices as: Annual Engagement Survey, Employee Wellness Programming, employee celebrations and events, United Way Campaign, anniversary and birthday recognition, retirement gatherings, and employee gifts.
  • Plans and organizes logistics of offsite events, such as board meetings, using internal resources as needed.
  • Verifies common areas and conference rooms are clean and supplied appropriately, including stocking conference room refrigerators with refreshments.
  • Ensures documents, materials, interoffice mail and USPS mail is sorted and/or distributed to appropriate internal and/or external stakeholders.
  • Accepts deliveries and confirms supplies are distributed to the appropriate internal resources.
  • Facilitates various employee communication activities and events, such as All Employee Meetings, In The Loupe/Share Point Intranet site, and employee display and communication boards in break rooms/entrances.
  • Manages Inland's Recognition program and communicates results to management group.
  • Administers the "Inland Store" and places replacement orders as needed.
  • Assists with administrative new hire and termination tasks.
  • Prepares presentation materials utilizing a variety of tools including Excel, Word and PowerPoint to develop attractive, graphic-intensive and compelling documents for senior management.
  • Assists with recruitment efforts, which includes posting open positions on Inland's social media platforms, responding to inquiries on jobs via social media as well as assisting with administration of Inland's open interview days.
  • Supports the Environmental, Health and Safety functions, through recordkeeping of Inland's VOC data, ongoing maintenance of emergency contact information at all facilities and SDS database upkeep.
  • Administrative support to HR functions that include record keeping, file maintenance, company wide mailings and preparation of orientation materials.
  • Manages the administration of the Inland Library
  • Manages expense reporting, including travel charges, for key managers and the HR department.

Essential skills and experience:
  • 3 years of work experience in a professional, office environment, or combination of education and experience is required
  • Demonstrated planning and organizational skills in a fast-paced environment
  • Willingness to learn, adapt to change, and take on additional duties and tasks
  • Familiarity with business processes and daily operations
  • Trustworthy and upholds the standards of confidentiality

Nonessential skills and experience:
  • Associates or Bachelor's degree in Human Resources, Business Administration, Communications, Management or a related field
Work Environment:

Operates in a demanding, fast-paced, people-oriented manufacturing environment with frequent changes and interruptions, and multiple project assignments. Works with a variety of people including vendors, customers, employees, managers, and executives.

Required Work Schedule:

Typically works standard business days and hours; Monday - Friday, 7:30 am - 4:30 pm.
Must be flexible to attend meetings, functions and to be available during off hours, weekends, and holidays to meet organizational initiatives.

Physical Requirements:

Walk, sit, bend, stoop, push, pull and stand; lift 20 pounds; 20/40 vision acuity.
