Position Description:
The academic assistant in the Department of Chemistry and Biochemistry provides support to faculty, staff and students. We are looking for a team member with a positive attitude, who is detail-oriented, has strong organization skills, and can multitask in a fast-paced, diverse department.
Duties include: * Answer department phone and respond to emails.
  • Greet visitors, answer questions, direct them to appropriate individual(s).
  • Distribute mail, fax and other correspondence for department.
  • Update department website, department list serves, and mailbox listings.
  • Assist students with course permits, monitor student enrollment.
  • Order departmental supplies.
  • Perform duties of telephone administrator & primary contact for work orders and parking permits.
  • Complete paperwork for state fleet vehicles.
  • Work with Facilities Management Staff on infrastructure issues and keys.
  • Provide administrative support for faculty search process and on campus visits.
  • Maintain records and departmental files.
  • Compile/integrate multiple kinds of information into a usable list, form or database for use by department head, faculty and staff; e.g. course schedules, graduate student information list.
  • Track Safety Training for the department.
  • Provide Faculty Support- proctor exams, organize seminars, order exams.
  • Assist with FedEx shipments and receive incoming packages
  • Manage Student Rating of Instruction ( SROI ) process
  • Scheduling and Event Coordination including seminars and symposiums. Make various arrangements for visiting speakers - i.e. make travel arrangements, hotel reservations, room reservations for talk, etc.
  • Schedule appointments of prospective student visits
  • Create room reservations and schedules for department listings.
  • Schedule and coordinate meetings for faculty.
  • Assist with special projects.

Minimum Qualifications:
  • High School Diploma or GED
  • Office related experience, including office computer applications, word processing, announcement and poster preparation, email, copying, letter writing and fax
  • Excellent oral and written communication skills
  • Demonstrated ability to work independently and meet deadlines
  • Ability to interface with the public, faculty and students

Preferred Qualifications:
  • Minimum two years of related administrative experience
  • Familiarity with University operations
  • Public relations experience
