Eventide on Eighth Care Center is currently seeking an Administrative Coordinator to plan, develop, manage and evaluate the overall duties of the Unit Secretaries and Receptionist. The position will maintain and facilitate communication between the public, residents and staff and promote all communications and contact in a professional, positive, and friendly manner. Maintains all medical records of residents at the campus according to the regulations and policies of the corporation and the appropriate regulatory agencies. Will work closely with the campus Executive Director and Director of Nursing on special projects.

Ideal candidate:

  • A high school diploma or GED is required, Associates or Bachelor's degree in Health Care Related field preferred.
  • Previous supervisory experience preferred
  • Previous medical record or long term care experience preferred


Essential Functions:

  • Completes ICD-10 diagnoses coding as needed.
  • Audits charts, qualitatively, for additional information which may be needed to complete records. Responsible for Release of Information for the Care Center
  • Maintains records of all physician visits and notifies appropriate people to assure the timely completion of the visits and requirements that must be made concerning these physician visits.
  • Performs audits of medical records as needed to gather requested information.
  • Ensures and provides initial and as-needed training for staff and makes recommendations for continued education of the staff.
  • Monitors and supervises all Unit Secretary and Receptionist staff according to established policies, procedures, and standards.
  • Evaluates staffing needs and maintains adequate staffing levels. Assists in hiring new employees as needed.
  • Is responsible for job performance appraisals, any disciplinary actions, and termination of employment. All terminations will be reviewed by the Executive Director and the Human Resources department.
  • Manages resident trust funds and cash box.
  • Performs clerical duties which require a working knowledge of office machines, facility programs, operating procedures, and computers.
