Job Responsibilities

Information Processing Maintains knowledge of health information management related policies and procedures. Assists Health Information Management in performing admission and discharge medical records functions on a timely basis. Keeps Director of Health Information Management informed of all problems and/or discrepancies in charts in a timely manner. Assists with auditing of the medical record. Collaborates with interdisciplinary team to assure Health Information Management is provided with all necessary information regarding new admissions in a timely manner. Assists nursing department with phone duty and delivers messages in a timely manner. Performs clerical duties as requested by the Charge Nurse, i.e., faxing, phone calls, filing, etc. Informs necessary staff of resident status changes and hospital transfers as needed and completes health information management functions as applicable. Assists in routing correspondence, telephone orders and physician's orders to physician for review and signature on a timely basis. Tracks and schedules routine ordered labs; monitors and verifies lab results are received. Schedules required physician's visits within appropriate regulated time frame and other consulting physician appointments as needed. Arranges transportation for appointments and notifies residents/families and Volunteer Coordinator if volunteer is needed. Sends appropriate and accurate medical information to appointments. Assists in filing all monthly documentation records in the medical records on a timely basis. Maintains accurate medical record order. Assists in thinning medical records and filing thinned information. Maintains adequate supply of necessary forms and supplies on each unit. Maintains an organized nursing station. Maintains nursing assignment sheets. Maintains knowledge of the HIPAA Privacy policies and procedures and works to ensure compliance and enforcement with these policies and procedures. Assists Health Information Management Director to ensure confidentiality of protected health information. Clinical Applications Functions Assists with data entry as directed or needed by the Director of Health Information Management. Understands and is proficient using GSS Resident Services. Understands and is proficient using the health information management aspects of ARC. Completes ARC training if applicable. Generates and prints standard monthly reports and trends using queries/report function in GSS Resident Services as assigned. Accurately enters, maintains, transmits, generates and prints data/reports from GSS Resident Services as assigned. Transmits MDS information. Works with Handhelds and other clinical applications as applicable. Uses the EMR accurately. Responsible to lead the management and monitoring /auditing of the EMR in the location. This would include but not limited to training, documentation, reports /dashboards and retrieval management and monitoring/auditing. Special Projects Performs other duties as requested by Health Information Management and/or Charge Nurses. Accurately completes special projects on a timely basis. Offers residents choices for daily living and activities and respects and reports resident refusals. Maintains residents' self-esteem, privacy and confidentiality of personal information. Receives and shares information. Observes and reports residents' conditions to appropriate staff. Uses the EMR accurately.

Qualifications

Completion of health information management courses is beneficial. Previous experience working in a helath information management/medical records department.

Typing, data entry, filing, telephone skills, computer, and adding machine.

Basic ability to communicate and comprehend; knowledge of standard health information management practices; familiarity with office machines.
