Position Information

Position Description & Details:

The purpose of this position is to provide service to the faculty, staff, students, and guests of the College of Business by supporting the College with technical financial and human resource related tasks.

Responsibilities:

Accounts payable
  • coordinate, match, key and code invoices
  • maintain purchasing procedures for faculty, staff, and students
  • coordinate with appropriate offices across campus to facilitate purchases
  • assist department chairs in assuring current policy regarding use and procedures for spending funds are followed
  • process invoices in a timely manner
  • process interdepartmental billings

Perform college payroll responsibilities
  • generate and process payroll for graduate programs
  • process payroll forms for staff and students (any not done by academic assistant)
  • consult with academic assistant for any payroll forms done for faculty
  • maintain time slip payroll for academic departments
  • monitor payroll activity
  • process payroll adjustments (any not done by academic assistant)

Maintain financial records and produce reports
  • track expenditures and other financial activities through the University system
  • maintain inventory control system - manage physical facilities inventory for College
  • follow proper accounting controls
  • process budget adjustments in consultation with the business manager
  • assist with grant and IC management
  • provide periodic and timely reports to business manager, chairs, and PIs
  • monitor university budgets and work with business manager, department chairs, and principal investigators (PI) to ensure proper expenditures and timeliness
  • monitor and process transactions within fiscal year deadlines

Work Schedule:

40 hours per week (M-F: 8am - 5pm or 7:30am - 4:30pm)

Advertised Salary:

$40,000/year+ commenserate with experience

Minimum Qualifications:
  • Associates degree in accounting, business administration, banking, finance or related
  • 2 years related experience
  • Ability to learn and adapt to ever-changing financial environment, including the university system
  • Basic word processing and database knowledge
  • Strong interpersonal/oral/written communication skills
  • Detail oriented with emphasis on accuracy and timeliness
  • Able to work independently and as part of a team
  • Strong organizational and prioritizing skills

Preferred Qualifications:
  • Working knowledge of university processes and policy
  • Working knowledge of university-used software and systems
