Job Details

Position Summary:
Administrative Services personnel are dedicated to providing records management support to all areas of the company using a variety of electronic and hardcopy information management techniques.

Essential Responsibilities:
Job Function 1: Provide Imaging Support - 70%
  • Prep hard copy documents for imaging, which includes identifying the document by visual recognition.
  • Operate scanner and Nautilus software to image paper documents with acute attention to quality of image.
  • Index documents into Nautilus with strict attention to detail of keyword metadata entered.
  • Maintain processes for quality control and document integrity, resulting in destruction of paper document upon process completions, where authorized to do so.


Job Function 2: Perform Records Inventory Maintenance - 15%
  • Maintain accurate inventory of all records systems using the inventory database.
  • Log all requests and checkouts in database according to procedures.
  • Create hard copy files and maintain them; as required.
  • Identify opportunities to improve existing systems and processes.
  • Assist in special records projects at the direction of the Records Manager.
  • Assist in purging and storing records within compliance regulations.


Job Function 3: Provide Records Management Customer Service - 10%
  • Provide prompt, courteous service to all internal and external customers.
  • Respond to customer requests for information within defined turnaround times.
  • Assist with retrieval of electronic records from Nautilus by using critical thinking skills and process knowledge.
  • Document and maintain processes and service level agreements in Alerus R&R database.


Job Function 4: Maintain Industry, System, and Product Knowledge - 5%
  • Maintain updated knowledge of in-house computer systems.
  • Maintain knowledge of Company products and the banking industry.
  • Understand the various documents being filed for each product area that you support.
  • Have basic understanding of document flow outside of the Records area.
  • Maintain working knowledge of Nautilus from a customer perspective as well as imaging document setup.
  • Attend all mandatory and functional team training as directed by the performance plans.



Position Requirements:

Qualifications:
  • High school diploma or GED required.
  • Two years experience in a records management or document imaging environment; or equivalent combination of education, training, and experience.
  • Knowledge of Windows, word processing, spreadsheets, or database applications.
  • Accurate data entry skills.

Physical Demands - Must be met with or without a reasonable accommodation:
  • Processes may require extended periods of standing, bending, reaching, or sitting.
  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
  • Extended time is spent reviewing physical and electronic documents.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 40 lbs.
  • Will spend most of time in an indoor environment.
