Position Information

Is directly accountable to the Director of Academic Records and Registrar.

RESPONSIBILITIES:
  1. Responsible for the maintenance and expansion of the Electronic Academic Requirements Report System (Degree Audit).
  1. Responsible for the coordination of electronic imaging processes and solutions within Academic Records.
  1. ?Responsible for maintaining, managing and coordinating student registration related activities in accordance with department guidelines and procedures for collaborative students.

Position Description & Details

Academic Records general duties - 70%
  1. Plans and oversees daily operations relative to the Electronic Academic Requirements Report System (degree audit) in CampusConnection to include, but not limited to maintaining the degree requirements for approved academic programs, developing and testing new degree requirements, and troubleshooting problems.
  1. Prepares appropriate materials to promote the degree audit system to the college community including training materials, handouts, reference guides, and forms.
  1. Evaluates degree audits to ensure applicants have met all degree requirements and notifies applicants/department of any deficiencies.
  1. Performs academic record functions related to the creation and maintenance of, course substitution, exception for degree requirements, course and placement score requisites in CampusConnection.
  1. Generate and disseminate Post Enrollment Requirement Checking reports (PERC) to appropriate academic departments.
  1. Perform athletic eligibility coding in Campus Connection.
  1. Sets up and maintains the content information in Microsoft SharePoint Core Portal as the site contact for the Academic Records department.
  1. Plans, organizes and oversees daily operations relative to student registration for collaborative provider and home campus students.
  1. Generates and submits degree and enrollment verification files to National Student Clearinghouse.
  1. Maintains confidentiality of student records consistent with the Family Education Rights and Privacy Act.
  1. Develops detailed business processes for assigned duties.

Imaging software duties - 20%
  1. Coordinates and implements document imaging set up and processes, to include developing electronic forms, completing monthly validation, and troubleshooting problems.
  1. Acts as BSC Power User for NDUS documents in imaging software for the Academic Records Department.

Miscellaneous duties - 10%
  1. Supports innovation, creativity and ideas to improve/enhance processes, functions, etc. in the department and as a whole for the college.
  1. Performs other duties as assigned or required.

Minimum Requirements

  1. Appropriate bachelor's degree (i.e., computer or management information systems or, business administration, etc.) or an associate degree with two years of related experience.
  1. Ability to apply rule sets to information, using logic, analytical techniques and deductive reasoning.
  1. Ability to positively function and multi-task in a complex client service environment with attention to detail and accuracy.
  1. Ability to develop and evaluate policies and procedures.
  1. Excellent computer software skills and knowledge of computer software -- Microsoft Office (Word, Excel, and Access), email and electronic calendar and excellent keyboarding skills.
  1. Experience in learning and implementing new technology, software and related skills.
  1. Excellent interpersonal skills, demonstrated positive customer service skills, and ability to relate to people of varying ages and backgrounds.
  1. Disciplined and able to maintain confidentiality.


Preferred Qualifications

  1. Experience in and understanding of PeopleSoft software.
  1. Experience in using an electronic imaging system.
  1. Knowledge or experience with higher education.
