This is a full-time days position working 80 hours a pay period at our Grand Arbor facility. The hours are from 8 AM to 4:30 PM.

Scope:

  • Provide direct supervision of the Receptionist team and/or Care Attendants.
  • Has frequent contact with visitors, residents, families, and staff.

  • Provide administrative support on a frequent basis for all departments.
  • Works closely with staff across the Knute Nelson continuum of care, residents, families, and the community.
  • Key organizer and administrator of onboarding process for all new employees within the assigned division.
  • May provide support for the Housing Sales team.

Key Responsibilities:

  • Responsible for providing excellent customer service and public relations needed for quality care and services to all customers. Serve as an information resource for residents, staff, and guests.
  • Answer and transfer all incoming calls in a courteous and professional manner.
  • Complete resident invoicing correctly and in a timely manner.
  • Perform a variety of administrative duties as assigned.
  • Provide supervision, instruction, and work direction to Receptionists and/or Care Attendants. Serve as mentor including monitoring employee performance, conducting performance evaluations, and providing on-going support and encouragement. Assist with cross training employees of the team as requested.
  • Administer onboarding processes for all new employees within the assigned division. Work closely with Human Resources and the direct managers to ensure new employees are properly trained and set for success.
  • Combine administration process across multiple locations to ensure maximum efficiency if being achieved. Review, identify and improve billing and month end reporting processes.
  • Provide support to the Housing Sales team as needed. Train current team members to be able to support sales processes.
  • The duties and responsibilities listed above are representative of the nature and level of work assigned and are not necessarily all inclusive.

Education and Experience Required:

  • Requires a two-year administrative degree, one year of experience working in an office setting, preferably in healthcare, or any equivalent combination of training, education and experience.
  • Exceptional typing skills required and must be fluent in computer knowledge especially in Windows operating system and Microsoft Office. Must also have experience with various office equipment such as copy machines, multi-line phones, postage meter, fax machines, etc.
  • Excellent communication skills are required and an ability to work with confidential information.
  • Often the first contact visitors have when calling or visiting the facility, therefore the use of good judgment, tact, courtesy and patience is required. The incumbent should represent Knute Nelson in professional, business-like manner.
  • Able to physically perform the duties required by the position.
  • Required to have the ability to read, write and speak English well enough to communicate with staff, residents and visitors.
