The Maintenance Parts Coordinator is responsible for the management of the spare part program relating to all maintenance and engineering items. This position will also handle department's emergency and non-stock orders and assist with cost saving directives relating to parts and services.


Responsibilities

  • Order all necessary parts and services for the maintenance and engineering department in a cost effective and timely manner.
  • Enter and Process necessary Purchase order Information in the ERP system.
  • Complete purchase order, fax, email or phone orders to approved vendors and arrange for freight at the most economical means.
  • Conduct follow-up on pending orders as necessary to ensure timely delivery.
  • Communicate to internal departments the status of orders as necessary.
  • Spare Parts and related Inventory
  • Responsible for the management of spare parts for all buildings relating to maintenance and engineering to adequately provide maximum uptime for operations.
  • Evaluates and maintains appropriate levels of inventory and conduct audits to reconcile inventory between physical and CMMS system on a timely basis.
  • Based on historical data and operational requirements, determines what parts are stocked and develops min/max for these parts validating with Maintenance Manager as needed.
  • Utilization of CMMS Software System for management of these spare parts.
  • Manage rejected materials that are returned to vendor to ensure timely credits.
  • Ongoing Research and evaluation of vendors and resources to obtain the highest quality for the lowest price in the most efficient manner.
  • Negotiate with current suppliers to assure best price, service and quality working with Maintenance Manager.
  • Maintain a sufficient number of suppliers of the same product to ensure quality, availability and pricing are maintained.
  • Research hard to find, obsolete and OEM parts to find alternate vendors and resources.
  • Cost Saving Initiatives working with Maintenance Manager.
  • Administration of CMMS System as requested by Maintenance Manager
  • Active Communication between Maintenance/Engineering Team, Purchasing, Receiving, and Accounting to ensure proper process flow.
  • Other Duties as required by Maintenance Manager

Requirements

  1. Strong knowledge of parts and associated suppliers
  2. Mechanical Aptitude
  3. Ability to read equipment part manuals and drawings
  4. Good organizational skills and ability to multitask in a fast paced environment
  5. Proficient in Microsoft Office
  6. Good Communication and interpersonal skills
  7. Ability to lift up to 50 pounds.
  8. Two year college degree and/or related experience
  9. Highly motivated, ability to work with minimal supervision
  10. Experience with CMMS/ERP systems
