Job Summary

The Corporate Services Administrative Specialist is responsible for the overall execution of contracts and leases for the department, maintains all vendor information, creates reports/metrics and distributes various documentation to internal and external customers. This position will provide departmental support by reviewing and updating procedures and policy manuals, coordinating and organizing special events, projects and quality improvement activities and prepare project plans and meeting agendas.

 

Essential Functions
  • Creates, implements, coordinates, oversees and assumes overall responsibility and accountability for procedures and processes related to the origination, review, process flow and ultimate execution of contracts and leases for the division.
  • Conducts, maintains and ensures research regarding vendor information is up-to-date. Requests ongoing reports and documentation from vendors. Maintains current vendor list, address, email address and fax numbers. Reviews and ensures compliance with vendor contracts and organizational requirements.
  • Enters and submits requisitions for services, other pending requisitions and renewals in purchase order system. Checks invoice(s) for accuracy and follows up with any discrepancies with vendors.
  • Reviews incoming correspondence to determine actions and appropriate distribution.
  • Interacts with internal and external customers, gathers information and distributes information to the department.
  • Produces, edits and distributes various documentation to internal and external customers.
  • Captures, summarizes and creates reporting based off of team project metric performance; maintains department budget reports. Prepares and coordinates variously monthly, quarterly and annual reports for distribution in a timely manner.
  • Provides departmental support, this responsibility includes but is not limited to: maintaining emergency contact list and building automation systems access, reviews and updates procedure and policy manuals and coordinates and organizes special events, projects and quality improvement activities
  • Assists with the coordination of projects including preparing and maintaining project plans and planning meetings and provides agendas and project documentation, as needed.

Experience Details: Minimum of 3 years of administrative, customer service, contract administration or related experience is required.

Equivalent combination of education, experience or training determined to be acceptable by Human Resources may be substituted, unless regulated by contract or program standards
