Duties Summary

The Fargo VA Health Care System is recruiting for a Program Support Assistant within the Office of Chief of Staff (OSS), Patient Services located in Fargo, ND. The position provides supports all divisions of the Medical Center, in accordance with VHA credentialing regulations, directives and policies and Joint Commission Standards. The incumbent manages all credentialing activities with adherence to State and Federal Regulations and VHA requirements.

Responsibilities


Duties include, but are not limited to:

  • Independently ensure that primary source verification of credentials for register nurses, occupational, social workers, all other Dependent Providers is complete prior to initial date of employment.
  • Advise Service and Section Chiefs, Department Managers and Human Resources personnel on VHA Credentialing requirements and Joint Commission Standards.
  • Independently obtain Primary Source Verifications for provider professional time-limited credentials prior to expiration.
  • Oversee all electronic credentialing system functions for Dependent Providers without supervision.
  • Assess provider professional credentials in detail; Licensures, Drug Enforcement Agency registration, accredited Board and Specialty certifications, Supplemental Attestation (possible professional credentials derogatory action), Education (domestic and foreign), Personal History (staff status), Peer References and screening of Medical Malpractice Payments and Adverse Actions for each provider via the National Practitioner Data Bank
    electronic interface response prior to initiating the credentialing process.
  • Generate electronic credentialing system reports and report cards independently to limit
    facility's vulnerability in high risk areas such as: providers working without required licenses,
    certifications, registrations and National Practitioner Data Bank query requirements.
  • Create and/or maintain a comprehensive database, with adherence to VHA Privacy and Security policies; e.g. Excel Spreadsheet, Access, etc. as back-up to VHA electronic credentialing system for Dependent Providers to ensure the accuracy of time-limited credentials.
  • Coordinate with internal and external customers to facilitate timely sharing of information related to credentialing and respond to inquiries regarding providers appointment status.
  • Provide guidance to on-boarding and current medical staff on all matters related to credentialing; document requirements, electronic submission and professional practice requirements.
  • Individual purchase card holder for Dependent Providers Credentialing for primary source verifications; state licensure, professional education, professional training, accredited board certifications and National Practitioner Data Bank (NPDB) queries.

Work Schedule: Monday - Friday, 8:00 a.m. - 4:30 p.m.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in communication with internal and external customers at various levels for sharing information, responding to inquiries, and maintaining a professional environment and courtesy; Utilization of various office automation software packages and producing a wide range of documents and other materials; Interpreting and understanding regulations, directives, and policies; Performing functions that correlate to the management of policy administration, record-keeping, and compliance; Creating and/or maintaining comprehensive databases. (This experience must be well documented in your resume or application package.)

NoteA full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary and requires no special physical abilities. It may involve some walking, standing, bending or carrying of light items. Occasional travel may be required to attend meetings and conferences and conduct work. The regular and recurring work involves extensive computer usage, sitting at a desk, attending meetings, and frequent interruptions in person and on the telephone. Keen hearing and distinct speech are essential due to the extensive use of the telephone as a means of communication. May be a certain amount of mental strain due to time constraints, workload demands, and frequent reviews and surveys by internal and external entities.
