Industrial Systems: (~$575 Million revenues in 2019) Includes large motors, alternators, automatic transfer switches and switchgears which are sold to agricultural, marine, oil and gas, data centers, power generation and general industry equipment markets. Scope of Role Reporting to Regal's Vice President, General Counsel and Secretary (GC), the Executive Assistant will serve as a key administrative partner to the GC and provide additional directed support to members of Regal's corporate legal team. The corporate legal team serves Regal globally, ensuring the provision of all legal services and addressing the company's needs in areas of compliance, environmental health and safety, risk management, and global trade. The team consists of 12 associates including some staff and liaisons in other US and non-US locations. The GC leads the team, acts as Corporate Secretary and serves as the governance liaison to Regal's board of directors. In the role, the Executive Assistant will also perform office management related duties for the Beloit location and direct the work of an administrative assistant responsible for reception and related tasks. Key Responsibilities The Executive Assistant is responsible for leveraging their organizational skills, document management expertise, and office experience to manage, maintain and organize the essential activities of the GC. This includes: Providing primary day-to-day administrative support Drafting, proofreading, editing, organizing, tracking and filing various legal and business documents in accordance with established protocols and attorney guidance, including presentations, letters, messages, reports, memoranda, agreements, meeting agendas, resolutions, and corporate governance documents Prioritizing matters for handling and processing in a timely manner and tracking to ensure that all deadlines are met Working closely with internal and external legal and business associates and contacts to foster professional communication and ensure timely billing administration Organizing, maintaining and updating legal and corporate files and databases Facilitating the planning and arrangement of meetings and travel Acting as a liaison on administrative matters between the Beloit office and Regal's satellite office in Rosemont, IL Ensuring and protecting the confidentiality of Regal's legal and business matters PROFESSIONAL EXPERIENCE/QUALIFICATIONS The successful candidate will have proven experience as a key administrative partner to an executive leader with demonstrated ability in developing collaborative relationships within the team and across the organization. This administrative partner must have the passion, energy and intellectual curiosity necessary for a fast-paced, growth-driven environment, be able to employ forward thinking, and have the ability to expeditiously execute tasks, projects and programs. Minimum Requirements: Bachelor's degree is preferred. 5-8 years of experience as an administrative assistant in an executive leadership environment (in-house corporate legal department experience preferred), or an equivalent combination of education and experience relating to this position. Ability to understand basic business and legal terminology and concepts along with the ability to read, proofread and organize documents. Proficient skills in Microsoft Office Suite; especially in MS Word and MS Excel. Excellent interpersonal and influencing skills to establish trust, credibility and rapport at all levels of the organization; seen as courteous, direct, and authentic while possessing professional presence. Proven ability to be hands on, roll up sleeves and demonstrate resourcefulness, initiative, results-orientation. Has a mindset of continuous improvement and can embrace Regal's 80/20 principles. Demonstrated ability to develop strong partnerships and influence resources outside one's direct responsibility. Capability of operating at the highest level of integrity, ethical standards and confidentiality. Ability to travel up to 5% domestically.
