The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.

Responsibilities

  • Manage the reception area and staff to ensure effective communication both internally and externally
  • Provide office guests with a hospitable experience
  • Manage incoming and outgoing phone calls and correspondences
  • Accounts Payable: Making payments and keeping track of all payments, including invoices, statements, etc.
  • Accounts Receivable: Post clients payments by recording checks and credit card transactions
  • Billing: Weekly billing of completed services and projects
  • Create and update records and databases with personnel, financial and other data
  • Coordinating office activities and operations to secure efficiency and compliance to company policies
  • Keep stock of office supplies and place orders when needed
  • Assist colleagues whenever necessary


Qualifications

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Proficiency in QuickBooks Online
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
