We are seeking a Wealth Advisory-Client Service Coordinator (CSC) for our Minneapolis office. The CSC reports to a Wealth Advisor and is responsible for supporting a regional wealth advisor team and working with other regional operations staff on client service matters and operations through timely, courteous, respectful communication. Key responsibilities include scheduling, processing and tracking business paperwork, scheduling client appointments, resolving issues, meeting preparation, data entry, compliance requirements and a point of contact for clients.

Successful candidates will be highly dependable, trustworthy, and have exceptional organizational and proofreading skills. Attention to detail and accuracy, leadership skills, strong project management abilities are also critical to meeting and exceeding expectations in this role.

Operational Responsibilities
  • Set up and maintenance of client files, generation of new account paperwork, account transfer tracking, and report generation
  • Data entry and maintenance of CRM database management
  • Review and update client information in multiple databases as needed for client review meetings
  • Reach out to clients for various operational tasks relating to the financial planning and investment advisory process
  • Work with the wealth advisors and client service teams to support all operational needs on all advisory and planning business
  • Respond to general inquiries concerning departmental activities and operations by relating or referring to established policies and procedures
  • Assist internal operation team members as needed during peak busy season and act as backup for administrative tasks if/when needed
Client Services Responsibilities
  • Manage and resolve client service problems
  • Schedule and confirm meetings, answer phones, work with other team members as needed.
  • Work with the wealth advisors to prepare for meetings; attend meetings as/ if needed.
  • Complete letter templates, mail correspondence to clients and maintain CRM database.
  • Perform other job-related duties and/or special projects as required.
Job Requirements
  • Exceptional time management skills required.
  • Must have 2+ years of similar work experience in financial, professional services experience industry or related field.
  • Previous experience in an operational support role within the wealth advisory field is strongly preferred
  • Strong computer and word processing skills, including Microsoft Word, Excel, and PowerPoint
  • Knowledge of Custodial Institutional system preferred (Schwab, Fidelity, etc.)
  • CRM software knowledge a plus
  • Strong with numbers, attentive to detail and accuracy, possesses high energy, and proficient with multi-tasking
  • Excellent oral and written communication skills as well as excellent interpersonal skills
  • Ability to respond in a timely manner, organize tasks, manage time, and prioritize projects with the focus on the needs of the client
  • Ability to work effectively and efficiently with staff and clients, and adjust to changing priorities
  • Ability to work independently as well as function in a team framework
  • Ability to maintain confidentiality
Education
  • Required - High school Diploma or equivalent
  • Preferred - College degree
  • A plus - Para planner certificate or Series 7 or Series 65 equivalent
