Position Description & Details:

NDSU Libraries is recruiting for an Administrative Assistant. This essential position provides direct support to the Dean of Libraries as well as day-to-day support to the Libraries as a whole, which consists of the Main Library, four branch libraries, and the Libraries' Special Collections (NDSU Archives and Germans from Russia Heritage Collection).

The position serves as the receptionist in the Dean's office and maintains the Dean's calendar and the Libraries' resource calendars and oversees all shared files and listserv accounts. In addition, this position oversees building operations and provides support for human resource-related activities, payroll, and personnel recruitment and development. Responsibilities also include processing and tracking work orders, maintaining confidential files and records, recording and posting meeting minutes, and sorting and distributing incoming and outgoing mail. The Administrative Assistant serves as the Records Coordinator, Key Official, and Telephone Administrator for the Libraries. This position will also be responsible for assisting with travel arrangements, assisting with special events and campaigns, tracking donations to the Libraries, and other miscellaneous administrative duties as assigned.

Advertised Salary : $40,000+/year

Minimum Qualifications:
  • Associates degree or 2+ year of directly related work experience
  • Demonstrated history of progressive ability and responsibility as administrative support in a multidisciplinary team environment
  • Experience with Microsoft Office (Word, Excel, and PowerPoint)
  • Demonstrated organizational skills with ability to prioritize tasks efficiently and accurately
  • Effective written and verbal communication skills
  • Ability to work independently with limited oversight in a team environment
  • Ability to serve customers professionally and pleasantly
  • Ability to handle confidential information

Preferred Qualifications:
  • Bachelor's degree in related field
  • Work experience in higher education
  • Ability to create surveys and evaluations
  • Experience with recruiting and hiring processes
