The Clinic Office Coordinator is responsible for maintaining the flow of all patients through the clinic. This position maintains an accurate list of supplies needed and ensures all supplies are available to support the operation of the clinic. The Coordinator serves as a primary contact for insurance companies and Altru ancillary services. The Clinic Office Coordinator is responsible for completion and submission of insurance forms.
Essential Job Functions Title and Description
Answers telephone, routes calls and takes accurate and complete phone messages for the provider and relays information in a prompt manner.

Assures diagnostic tests are scheduled appropriately.

Obtains chief complaint from patients using information from patient/patient's family and previous medical records. Ensures all appropriate medical history and insurance forms are completed. Ensures all insurance billing, coding, and prior authorization are completed.

Prepares rooms and patients for exams and assists with procedures, per provider request. Demonstrates knowledge of location, set-up and use of equipment used for assigned area.

Monitors and addresses customer satisfaction issues. Responds and follows up with concerns in a timely manner. Facilitates service recovery for department as needed.

Communicates and works with other areas within clinical proximity to provide streamlined patient flow, provision of services and other processes.

Acts as liaison between provider, vendors and other departments.

Demonstrates competency and ability to carry out department specific functions in accordance to dept's standards of care, policies and procedures. Performs other duties as assigned to meet the needs of the dept/organization.
  • Demonstrates understanding and follows infection control policies and procedures according to standard operating procedure.
  • Maintains requirements for age specific competencies for the position and demonstrates the knowledge or principles of growth and developments and the skills necessary to provide patient/customer care/services.
  • Demonstrates knowledge and understanding of and compliance with:
    • All pertinent safety, health and environmental policies, procedures and guidelines.
    • Working safely, without causing harm or risk to self, others or property.
    • The work environment safety procedures and prompt reporting of unsafe practices, procedures, accidents, injuries or other safety violations to the Leader.
    • The use of all safety equipment and personal protective equipment.

Driving Requirements
  • Professional Drivers: Persons who drive as their main responsibility OR transport passengers or hazardous materials.
  • Frequent Drivers: Persons whose main responsibility is not driving, but drive daily or almost daily.
  • Occasional Drivers: Persons who drive from once per month to as frequently as once per week.
  • Infrequent Drivers: Persons who are generally not expected to drive.
