Executive Assistant


FUNCTION: Provides administrative support to the Executive team and staff as necessary. Typical responsibilities will be assist with daily company organization and operation, meetings, policies/procedures, bookkeeping and marketing.


Responsibilities

LEADERSHIP ASSISTANCE

  • Calendar management for executives
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes and documents for executives
  • Provide administrative support to President (correspondence, travel arrangements, appointments, receipts/reimbursement requests, etc.)

OFFICE MANAGEMENT

  • Plan/attend weekly staff meetings
  • Daily mail sorting/delivery
  • Arrange for parcel shipping for all staff as needed (correspondence, shop sales, etc.)
  • Manage office supplies/budget and equipment (track inventory in supply cabinets, reorder supplies as needed, place special orders for other staff when approved, phones, tablets and computers for staff)
  • Coordinate office equipment management and repair needs (copiers, desktop computers, fax, phone, etc.)
  • Arrange for flowers/gifts as requested
  • Proof reading for all departments as needed
  • Ensure meeting announcements are distributed in advance
  • Distribute meeting minutes and materials
  • Make calls and track meeting attendance
  • Attend meetings and take minutes when needed

FINANCE

  • Collect / compile all reports
  • Assist with other committee activities as requested
  • Assist Director of Finance and Personnel in maintaining financial records
  • Review employee expense reports
  • Assist with company marketing initiatives
  • Daily bookkeeping

BUSINESS COMPLIANCE

  • Licensing compliance and renewals
  • State by state company compliance
  • Review subcontractor COI's and W-9 for compliance


Qualifications

  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Self-starter
  • Problem Solver


Working Hours This is a 3-5 day per week position and we can be flexible on days/hours. Depending on proficiency, this role can transition to a salaried position with addition benefits if desired.
