8:30 a.m. - 5:00 p.m. Monday - Friday

Accounts Payable (AP) Representative will assist with the company's accounts payable functions. Responsibilities will include working in a team environment to assist with the timely and efficient processing of vendor invoices; maintaining vendor files; and providing quality customer service to internal and external customers & business partners.

Responsibilities

Must be able to...
  • Process high volume 3 way purchase order matching invoices; multiple line items
  • Receive incoming invoices, routing invoices for approval (as needed), and tracking invoices to ensure that they are all accounted for
  • Review invoices that are ready to be entered into the accounting system, determining the appropriate general ledger account number to be charged, and preparing the sales and use tax
  • Coordinate the processing of multiple check runs each week, including printing checks, gathering and matching supporting documentation, and uploading positive pay files to the bank
  • Filing and maintaining our accounts payable paper file system
  • Code expense reports and complete expense reports
  • Reconcile department accounts monthly and prepare reports to present to management
  • Reconcile bank statements
  • Complete weekly cash flow forecast
  • Maintain orderly financial filing system
  • Assemble financial data for audits
  • Prepare Sales and Use tax
  • Process all courier invoices for payment
  • Bank duties including statements, wire transfers, ACH payments, clearing checks and daily balancing
  • Process Ship & Debits claims and/or Price Protection claims
  • Process memo's for supplier returns
  • Act as backup for auditing and approving of employee expense reports and issuing payments
  • Willingness to be trained in ancillary functions to increase efficiency on key functions
  • Must maintain a strict standard of confidentiality to ensure that our customers protected information is secure
  • Act as a point of contact for both internal and external clients for all accounts payable related issues

Other Typical Tasks May also Include:
  • Taking on additional responsibilities from area Supervisor|Manager; supports Accounts Payable as needed
  • Participates in administrative staff meetings and attends other meetings and seminars
  • Takes notes and helps execute activities that results from Accounts Payable efforts


Required Knowledge, Skills and Experience

Minimum/Essential Qualifications:
  • High School Diploma or equivalent
  • Ability to operate computer workstation hardware and software
  • Experience working in Excel
  • Generally, spend the workday sitting at a workstation and operating computer devices, such as, but not limited to keyboard, mouse and screen
  • Generally, spend the workday performing repetitive motions that involve or affect the hands, head, and other parts of your body
  • Ability to lift up to 35 lbs; floor to shoulder height
  • Must be able to perform the following behavioral competencies; attention to detail, customer/client focus, ethical conduct, manages execution, personal effectiveness/credibility, and positive attitude
  • This is considered an essential onsite role, which requires regular onsite attendance.

Preferred Qualifications:
  • Two-Year Degree or Bachelor's Degree in Finance, Accounting, Business Administration or similar area of study or equivalent, relevant work experience
  • Typically, zero to 1 year of experience in data processing, document management, customer engagement, and Sales
  • Knowledge of Accounting principles
  • Experience working in the WinDECS application, DRS
  • Base understanding of the various functions of Digi-Key and the industry Digi-Key operates in
  • Base knowledge of Digi-Key brand and its principles
