Summary

: This part-time position will provide executive level administrative support and handle a variety of special projects in support of Chief Executive Team members. As the primary point of contact for the assigned executives, the Executive Assistant is responsible for overall coordination, communication, effectiveness and efficiency.

Essential Duties and Responsibilities

:
  • Complete administrative tasks for executives, including calendar management; composing and preparing correspondence; organizing and maintaining electronic and monitoring and responding to emails; scheduling and coordinating meetings.
  • Manage projects and create a broad variety of documents and materials for executives, including PowerPoints.
  • Anticipate needs and prioritize incoming issues, requests, and inquiries, including those of a sensitive or confidential nature. Consult with the executive in determining the appropriate course of action, referral or response. Manage workflow independently and follow through to successful completion.
  • Work closely with executives to keep them well informed of upcoming commitments and responsibilities, and issues taking place.
  • Facilitate clear communication and maintain credibility, trust and support between the executive office and internal staff, and with external clients and partners.
EDUCATION REQUIREMENTS:
  • Bachelor's Degree, or an equivalent combination of education and experience.
CERTIFICATES, LICENSES AND REGISTRATIONS:
  • CAP certification is a plus.
MINIMUM EXPERIENCE, KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:
  • Three 3 years of experience providing executive level administrative support.
  • Demonstrates high quality, professional writing and verbal communication skills that project a positive image of the business.
  • Excellent organizational skills and ability to manage multiple activities with excellent attention to detail.
  • Ability to proactively anticipate needs, make sound recommendations and propose alternative solutions, and take appropriate and timely action to address issues and resolve problems.
  • Ability to maintain calm under pressure and demonstrates adaptability during times of change or ambiguity.
  • High degree of diplomacy and discretion in working with confidential information.
  • High level proficiency with Microsoft Outlook, Word, Excel and PowerPoint, and GoToMeeting.
  • Ability to quickly adapt to new technology and easily acquire new technical skills.
OTHER REQUIRED QUALIFICATIONS:
  • Must be authorized to work in the United States and not require sponsorship now or in the future.
