Opening this summer!POSITION SUMMARYThe Receptionist is responsible for answering telephone calls and connecting caller with appropriate party. The receptionist pages appropriate individuals when necessary and performs secretarial and general clerical duties. Position has frequent / consistent contact with all hospital staff, physicians, patients and general public. Must be able to maintain professional composure during a crisis and communicate out codes according to hospital policies. QualificationsEducation / Licensure:Position requires successful completion of an accredited high school diploma or evidence of successfully passing a high school equivalence examination with a minimum of 1 year PBX experience preferred.Skills:Skill in support of success includes: 1) Organizing and prioritizing workloads to meet deadlines; 2) telephone etiquette and paging procedures; 3) effective oral and written communication skills.Additional Requirements: Must have strong interpersonal skills and be able to communicate with people of all educational and cultural backgrounds in a friendly, courteous manner. Often the initial representative of the organization, the receptionist is consistently conscious of the hospitals professional image and critical point of access to quality mental health services. Timely renew and maintain cardiopulmonary resuscitation for the healthcare professional certification, annual professional skills verification and Handle with Care (psychiatric crisis management) certification.ESSENTIAL JOB FUNCTION AND RESPONSIBILITIESPrimary ResponsibilitiesReceives/screens all incoming calls and connects caller to appropriate hospital party by the third ring whenever possible. Pages individuals over the central paging system as requested and according to hospital policy.Sorts incoming mail and applies postage to all outgoing mail on a timely basis.Maintains visitor sign-in/sign-out log. Attentive to HIPAA requirements specific to this position. Directs family members and other patient visitors in accordance with hospital policy and in a timely fashion.Serves as critical first contact of efficient Crisis Call System, and connects call within 3 minutes.Maintains a current list of in-house patients. Ensures patient confidentiality in accordance with hospital policy.Accepts applications only for positions available and forwards them to Human Resources.Accounts for flowers, gifts and patient belongings ensuring the timely routing. Attentive to the potential introduction of contraband or at-risk items to the staff / patient population. Takes initiative to minimize wait times and ensures connection between guest and hospital personnel. Customer ServiceChampions the AIDET approach to customer service (Acknowledge, Introduce, Duration, Explanation and Thank-You). Models a steady practice of AIDET throughout the customer experience. In-person and telephone communication is consistently attentive, responsive and reflects helpfulness.Professional awareness and boundaries are observed. Unnecessary self-disclosure is minimized. Telephones are answered by the third ring whenever possible and with a professional greeting. Dedicated extensions/mobile phones with voice mail have a personalized greeting, and messages retrieved/responded to in a timely manner. Critical customer encounters are met with advanced customer service skills and resolved. LeadershipContinuously self regulates professional presentation especially during emotional charged situations.Partners with others to ensure cohesive teamwork and healthy communication. Gives consideration to situations that may produce divisiveness or be received as diminishing others role or authority.Medical Records and Confidential CommunicationAppropriately considers the sensitivity and confidentiality of medical/psychiatric information along with the need-to-know before sharing information with others.
