About the Job:
This position is responsible for the payment of all Facilities Management invoices, independently researches and resolves problem invoices and payments, reconciles the monthly vendor statements and the general ledger, works with interdepartmental staff and outside vendors. As a staff member in the UMD Controller's Office, this position is responsible for all FM payables.

Essential Functions:
50% Research, analyze and resolve invoice questions and errors
Assure invoices are correctly billed to Facilities Management Department and return or reroute those in error.
Reconcile monthly vendor statements, investigate any past due amounts or problem invoices.
Contact vendor regarding any past due accounts or problem invoices and follow through to resolve open issues
Access Tririga, Perceptive Content, and PeopleSoft to locate status and/or history of problem invoices and payments.
Work with University of Minnesota Purchasing Services on problems with checks going to incorrect addresses or check not being issued.
Check on past due payments for vendors using Tririga, and PeopleSoft.
Issue stop payment requests as needed.
Investigate and resolve invoice discrepancies and document any corrections and errors.
Set own goals and deadlines and follow through independently without daily oversight.

35% Prepare and enter Accounts Payable invoices
Open, sort mail to separate invoices, statements, and packing slips.
Maintain and accurately update the filing system for paid invoices and PeopleSoft and FAMIS reports.
Scan paper and electronic invoices into Perceptive Content
Enter all verified invoices into Tririga
Initiate job interface and resolve any errors, as needed, when reconciling interface errors on POI reports.
Verify invoices against generated reports.
Work with staff members in developing procedures that will promote more efficient processing and approval of invoices and faster response time to requests by vendors and staff.
Inform vendors of MN State Tax exemptions and ensure tax exemption is properly applied.

15% Miscellaneous Duties
Provide customer service desk backup for Controller's Office
Participate in and make suggestions for Accounts Payable student interviewing and hiring.
Keep an updated Accounts Payable Procedure Manual.
Attend required training sessions and meetings.
Know and follow safety procedures and policies regarding work methods and use of protective equipment as required.
Provide instruction, direction, and review job tasks assigned to student employee if applicable.
Perform other work-related duties as assigned by Supervisor

The salary range for this position is $20.23 per hour to $28.45 per hour.

This position is part-time, 85% time. Normal working hours will be Tuesday through Friday 8:00 AM to 4:30 PM.
