Description

This individual serves as the assistant for the Provost and VP for Academic Affairs office. This individual is responsible for helping to maintain the Provost’s schedule as well as manage the collection and distribution of weekly updates across the entire Academic Affairs unit to the President and Provost. This individual will also work well with other office staff and help to maintain friendly reception to visitors in the office, manage the main phone line, and serve as office support for requests related to telecomm, keys, inventory, and website updates.

Duties & Responsibilities

  • Greet guests Manage main phone line in Provost’s Office Manage schedule for Provost Manage collection and distribution of weekly updates to the President and Provost Provost Special events support Inventory VPAA website updates Keys requests Office supply ordering Telecomm support Maintain a high level of communication across campus, as needed Correspond by email, phone, and other means in a professional manner Display a positive attitude as a representative of the Provost’s Office Draft messages for Provost as requested Maintain records and adheres to retention guidelines for documents created as part of duties Work independently and use time-management skills to set and meet deadlines Maintain confidentiality Other duites as assigned

Required Competencies

  • Excellent interpersonal verbal/written communication skills.
  • Experience with Microsoft Office 365, Word, Excel, PowerPoint, Teams, OmniUpdate; or proven experience to quickly learn new technologies.
  • Must possess maturity to handle confidential and sensitive information and maintain confidentiality 
  • Must be self-motivated, able to work independently and as part of a team.
  • Requires attention to detail and excellent organizational skills.
  • Ability to work collegially and collaboratively, have a positive attitude, and be enthusiastic and self-motivated

Minimum Requirements

  • Associate’s degree and two years related work experience or four years related administrative experience
  • Experience with Microsoft Word, Excel, PowerPoint, Outlook, Teams, and Zoom
  • Successful completion of criminal history records check.

In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the US and to complete the required employment eligibility verification form upon hire.

Preferred Qualifications

  • Bachelor’s degree
  • Experience with PeopleSoft
  • 2-4 years directly related experience in an upper level administrative office
  • Experience in higher education and the structures within it
  • Experience with academic offices and processes within them

Minimum Hiring Salary/Position Classification

$32,000 Annual, Full-time, Non-Exempt, Benefited

Work Schedule/Start Date

Monday- Friday, 8:00 a.m. - 4:30 p.m., 07/2021 projected start date
