Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings. Essential Functions: Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image. Supervises and coordinates overall administrative activities for the Office Administration Department. Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions. Supervises the maintenance of office equipment, including copier, fax machine, etc. Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.) Participates as needed in special department projects. Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This position would require someone to be highly organized. The employee is interrupted often throughout the day and will need to have a system for going back to complete other tasks once interrupted. The employee must be able to maintain positive attitude and can assist customers with a variety of needs. Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Position Type/Expected Hours of Work This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 5 p.m. Salary Exempt$45,000RequirementsCompetencies: Initiative. Supervisory Responsibility This position manages all employees of the department and is responsible for the performance management and hiring of the employees within that department. Travel Occasional need for errands. Required Education and Experience Bachelor's degree or equivalent. At least two years of previous experience in office management. Computer skills: use of Word, Excel, PowerPoint, Microsoft Office Suite, the ability to learn new software and assist others with the use of tablets and/or laptops At least two years of switchboard experience. Working knowledge of mail processes such as postage machine, FedEx and UPS. Experience in a fast-paced environment. Work Authorization/Security Clearance Must be able to pass a Department of Human Services Background Study.
