This position is responsible for sorting, distributing, and sending out all mail, and effectively communicating with customers and coworkers. This position reports to the Operations Manager.ESSENTIAL DUTIES AND RESPONSIBILITIESOpening, sorting, stamping, and distributing all incoming mail.Printing, sorting, and distributing all documents received via fax or email.Folding, stuffing, and sending out all mail.Researching all returned mail and leaving notes in FMS (the software system) of the results.Scanning in all documents.Sending out packages via FedEx or UPS.Calling for maintenance on mail machines (such as folding, stuffing, and postage).Tracking envelopes and check stock to ensure enough is on hand.Maintain a department calendar of all scheduled activity that will impact production.Collecting and tracking incoming documents from clients and their employees.Tracking all incoming documents and entering the counts into FMS.Work with clients, employees, and consultants to ensure accurate documents are received.Ensure vendor and payroll checks arrive at the post office according to the approved schedule.Effectively manage escalations within the department by ensuring appropriate accountability, sense of urgency, communication, and follow through to closure.Responsible for suggesting methods to improve area operations, efficiency and service to both internal and external customers.Handles special projects or other duties as assigned.Experience and SkillsMinimum of an Associate's Degree or at least 4 years experience in a related field. A valid Wisconsin Driver's License, auto liability insurance, and a reliable vehicle is required. Moderate knowledge of PC software and ability to learn new software. Ability to maintain strict confidentiality. Knowledge of relevant bookkeeping/accounting principles. Ability and desire to cross-train, learn the work of other departmental staff in an effort to provide an effective back up when needed. Provides a positive and flexible attitude that will continually improve the work environment. Must be able to lift over 60 pounds. (Example: pick up mail from post office boxes).
