Description

The purpose of this position is to provide administrative support for the overall functions of the Office of Student Affairs & Admissions

Duties & Responsibilities

Provide Administrative Support for the Office of Student Affairs & Admission

    Develop and maintain process for students requesting excused absences Provide administrative support for student groups, calendar updates, general correspondence and notifications, safety forms, tracking and data compilation Serve as primary contact for student group room reservations, resources, and funding requests Communicate with the student community through various mediums and assist in the coordination of Achieve events Assist with maintenance of student files in accordance with institutional, state and LCME guidelines Coordinate the scheduling and communications with speakers/presenters for Achieve sessions and confirm and follow-up with presenters the week prior Assist with Careers in Medicine tracking Assist with updating of the medical student handbook Design and maintain SAA marketing materials and student forms Design and maintain Current Students, Financial Aid, ACHIEVE, and Forms sections of SAA website Provide administrative support for SAA departmental policies and procedures

Work as a team member to promote the success of the Office of Student Affairs & Admissions

  • Performs data entry of students’ information into database on a timely basis, along with updating their contact information as needed
  • Collect data for various reports and respond to questionnaires as requested
  • Contributes a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

Coordinate events for the Office of Student Affairs & Admission

  • Coordinates the development and implementation of events which promote program services and performance goals, from scheduling, logistics, marketing and evaluation
  • Maintains database of events; assist with assessment of events and the value to the students
  • Ensure adequate staffing for events and schedule set-up and technical support

Support HR & Payroll, Finance, and Records Management functions of SAA

  • Complete appropriate forms for hires, terms, changes, etc.
  • Complete annual key inventory
  • Maintain proper documents, files and reports
  • Assist with fund reconciliation
  • Collect required documentation and forms for reimbursement of travel and approved purchases for medical students and non-UND employees
  • Serve as records coordinator per the SMHS Records & Information Management (RIM) policies and procedures
Required Competencies
  • Proficiency with Microsoft Office and Outlook
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to multitask and prioritize personal workload while meeting the needs of students, staff and faculty.

  • Demonstrated proficiency with Microsoft Office software including Word, Excel, Outlook and Access.

  • Ability to assist and direct students in a courteous and empathetic manner.

Minimum Requirements
  • 4 years of directly related experience, may substitute experience with education (i.e. Associate's degree with 2 years of directly related work experience)
  • Experience with Microsoft Office and Outlook
  • Successful completion of criminal history records check.

Preferred Qualifications
  • Experience in an academic setting
  • Experience working with medical students and/or medical residents
  • Experience with UND administrative, travel, accounting, purchasing, human resources and affirmative action policies and procedures
  • Experience with UND branding
  • Experience with OmniUpdate/UND website
  • Knowledge of NDUS and UND policies and procedures
  • Knowledge of FERPA rules and regulation
Minimum Hiring Salary/Position Classification

$34,000 Annual, non-Exempt, Full-Time, Benefited

Work Schedule/Start Date

Monday - Friday 8:00 am to 4:30 pm. Occassional hours worked before or after normal business hours.
