Position Information

OVERVIEW: Bismarck State College is dedicated to student success. This on campus position is student-centered to provide high quality campus services and hands-on learning experiences.

REPORTING RELATIONSHIP:

Is directly accountable and responsible to the Director of Counseling and Advising Services.

RESPONSIBILITIES:

This position is responsible for providing administrative support for academic advising, career services, personal counseling, student accessibility, and other related Student Affairs services. Responsibilities include the efficient management and organization of the office and providing prompt and courteous service to students, employees, and the public.

Position Description & Details

General office support - 70%
  1. Manages day-to-day office operations.
  1. Serves as a contact for students, staff, and the public. Schedules appointments and directs students to appropriate resources in the department and throughout campus.
  1. Collects data and maintains spreadsheets regarding student activities and department accomplishments.
  1. Prepares letters, memos, reports, and other communications. Schedules meeting rooms, prepares agendas, and completes minutes.
  1. Coordinates paperwork and assists with accounting/budget processes regarding departmental purchases. Maintains budget and expenses record. Processes financial transactions and reconciles expense records.
  1. Assists the webmaster with maintenance of the Counseling and Advising Services page.
  1. Designs and develops brochures, posters, digital communications, and other marketing materials.
  1. Maintains departmental files including electronic documentation. Accesses and utilizes department and campus wide student records. Maintains confidentiality of student information.
  1. Maintains a career services database for students, employers, and alumni. Assists students and employers with accessing this database.
  1. Maintains database and spreadsheet for Job Fairs. Coordinates marketing, employer and student registrations, hospitality arrangements, and event set up for job fairs.
  1. Collects data for the annual First Destination Report including distributing electronic surveys, identifying duplicate data, and coordinating data collection from multiple sources on campus.
  1. Maintains the database for the student online training covering Alcohol and Illegal Drug, Tobacco Free Campus, and Sexual Misconduct and Title IX Compliance policies.
  1. Provides support to BSC's Title IX Team.
  1. Supports all student service areas in Mystic Advising and Counseling Center including career counseling, personal counseling, and advising.
  1. Ensures student and departmental confidentiality.

Other Student Services office support - 20%
  1. Supports the Student Accessibility Services, Testing Services, and Academic Support Services departments with office support as needed. Includes serving students, cross-training, limited administrative assistance to department employees, and assisting in the event of absences in those departments.

Miscellaneous duties - 10%
  1. Supports innovation, creativity, and ideas to improve/enhance processes, functions, etc. in the department and as a whole for the college.
  1. Performs other duties as required or assigned.


PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • Continuously - 66-100% - Sit, talk or hear.
  • Frequently - 34-65% - Stand, walk, or use hands dexterously (use fingers to handle, feel).
  • Occasionally - 1-33% - Reach with hands and arms, climb or balance, stoop/kneel/crouch, or crawl, or lift up to 25 pounds.


Minimum Requirements

  1. Appropriate associate degree or two years of directly related work experience.
  1. Excellent telephone and receptionist skills.
  1. Proficient in working knowledge of computer software programs -- Microsoft Office (Word, Excel, Access), email and electronic calendar and excellent keyboarding skills.
  1. Excellent interpersonal skills and common courtesy in working with students, employees, and the public.
  1. Excellent written communication skills.
  1. Good organizational skills and ability to attend to details.
  1. Disciplined and able to maintain confidentiality.
  1. Ability to work independently and make sound judgments.


Preferred Qualifications

  1. More than two years of directly related work experience.
