Job DescriptionThe Receptionist/Billing Specialist for the Outpatient Clinics supports the Program Director and helps manage Lad Lake's mental health services to enhance the internal procedures and infrastructure to ensure the program's viability and growth to fulfill the agency's overall mission. The Receptionist/Billing Specialist assists with the day to day interactions as it relates to the services that fall under the Director of Community Mental Health. The Receptionist/Billing Specialist works collaboratively and harmoniously with his/her peers as part of the team to ensure that the programs continues to remain financially viable and true to their mission.ESSENTIAL DUTIESReferrals/Admissions/Discharges:Process referral information by completing KC screens. Assign cases in a timely manner and in the best interest of the individual or family referred. The standard is to respond to referrals within 24 hours.Assign Service Provider within 24 hours of receiving referral.Schedule intakes based on therapist schedules, prepare paperwork and obtain signatures for consents, preferably thru DocuSign, for the clinic.After intake update KC tracking and upload consents.At discharges update tracking information in KC and organize file for storage.Billing: Processes billing forms daily by comparing form to KC and Synthesis looking for correct dates of service, service provided, payer and that notes are in both systems.End of month collect all billing forms, ensure they have been cross checked for accuracy and provide forms to finance departmentOther DutiesAnswers questions about organization, Therapists, and available services, providing callers with address, directions, and other information as appropriate.Greet visitors at the office and connect them with the appropriate personHandle incoming phone calls and direct to the appropriate personCheck telephone messages daily and email throughout the day to see confirmations, apt requests, etc. and handle all requests.Have visitors sign in and monitor the waiting room areaMaintain patient confidentialityOrder office supplies as needed.Maintain office equipment, place service calls to vendors when necessary.Maintain patient confidentialityRelated duties as neededExperience and SkillsEducation: Individual will hold at minimum a high school diploma but a Bachelor's Degree in a field related area is preferred. Skills: Individual will have excellent verbal and written communication skills.
