Job Responsibilities:
The Team Support Specialist is a critical member of a newly created, diverse, multi-disciplinary team of the Hub and Spoke Program of Wisconsin Community Services Inc. (WCS). The program is a new and creative approach to serving people with significant substance use and co-occurring physical or mental health needs. WCS was the site selected to implement the Hub and Spoke Health Home in Milwaukee County and one of the three sites in the State of Wisconsin. This innovative new program will utilize a coordinated service team approach that is focused on holistically serving the needs of the people enrolled in the health home. We will partner with a comprehensive network of spokes who will provide access to physical health, substance use, mental health, and support to meet life needs.

As the Team Support Specialist, provide clerical support for the Hub Team, welcome and greet all people, while providing strong customer service to the people being served by the program and the Hub Team.

Other Essential Duties Include:
  • Schedule appointments for internal Hub Services. Entails maintaining schedules, scheduling conference and meeting space, and supporting the development of Hub Team schedules.
  • Answer inquiries and direct people to the appropriate team member.
  • Support the Hub Team with individual, team and program level data collection and entry.
  • Ensure offices are clean and follow-up with maintenance and cleaning teams to support a well-maintained office space.
  • Monitor the security schedule and follow-up on security needs and requests.
  • Complete mailings and distribute all incoming and outgoing mail.
  • Support all ordering for the program including but not limited to, office supplies, medical supplies, bus tickets, cleaning supplies, etc.
  • Complete filing and file audits as requested.
  • Assist Hub Leaders in Audit preparation.
  • Follow all WCS Hub policies and procedures.
  • Uphold and promote a positive, strength based, and supportive culture.


Job Qualifications:
Knowledge, Skills, and Abilities: Administrative Assistant experience is required. Must possess excellent verbal and written communication skills, along with computer skills that include Microsoft Teams, Word, Excel, and database applications. Must be flexible, patient, and compassionate and maintain confidential information. Must have the ability to work independently with a minimal amount of supervision but must be a strong team player as well. Ability to multi-task, take initiative and apply knowledge to variety of circumstances.

Minimum Qualifications:

  • High school or GED/HSED required.
  • Two (2) years of Administrative Assistant experience preferred.
  • Knowledge and experience serving people with substance use need.
  • Strong computer skills including typing and ability to use Microsoft programs, databases, etc.
  • Ability to display cultural competence by responding respectfully and effectively to people of all cultures, languages, classes, races, ethnic backgrounds, religions, and other diversity factors in a manner that recognizes, affirms and values the worth of clients.
  • Valid driver's license, automobile, and insurance sufficient to meet agency requirements.
  • Meet all the employee requirements including references, criminal background check, drug screen, and driver's license check.

Working Conditions: Work is performed in an office environment. Some travel is required. Must be comfortable being around and/or interacting with adults who have significant substance use needs. Flexible work schedule is required to meet the needs of staff and the people being served. Physical Demands: May require sitting at a desk and/or computer for two or more hours at a time. Requires computer work. Some travel in the community.
