For more information about ProMach, visit for more information on ProMach Careers, visit DescriptionFederal is seeking a talented Administrative Assistant to contribute to the success of the organization by serving as the primary communication and information hub of the company as well as support on several customer service and accounting responsibilities. The position will be responsible for general assistance and administrative support for various duties as assigned through the accounting and administrative functions of the organization. This position is critical to the projecting and maintaining of a favorable public image to visitors and callers. This position reports directly to the Vice President & General Manager.Performs administrative activities.Coordinates and maintains various company records and files. Prepares and modifies documents, including correspondence, reports, presentations, memos and emails.Greets guests arriving at the facility and announces their arrival to appropriate team member(s).Answers, screens and transfers incoming phone calls. Accurately receives messages and transmits to appropriate team members, especially LCM Department. Fields and answers all routine calls, determine those non-routine calls and route appropriately.Coordinates, schedules and maintains travel calendar for members of Field Service Team. Works closely with Service Manager and Technicians to ensure timely and accurate submittal of time and expenses.Schedule and coordinate meetings and appointments prepares agendas and manages event planning and catering.Receives, sorts and distributes incoming correspondence and packages.Manages, coordinates, schedules and monitors vendors providing facility support services, including housecleaning, coffee, office supplies and equipment, etc.Generates parts invoices and service invoices in a timely and accurate manner.Assists with collections of parts, service, and machine invoices.Enters customer orders and generates LCM reports as necessary.Sales responsibilities including new machine order entry, modify customer presentations in PowerPoint, SalesForce usage and reportingAssists with researching, tracking and resolving AR & AP problems and discrepancies.Assists with monthly electronic filing responsibilities, in keeping with current practices and procedures.Performs additional tasks and duties assigned by the LCM Director and General Manager.JOB REQUIREMENTS:Minimum High School Diploma with a college degree preferred..Minimum 3-5 years strong administrative experience.Excellent interpersonal and communication skills, including personal effectiveness and integrity.SalesForce experience a plus.Knowledge of Microsoft applications (including Outlook, Excel, Word & PowerPoint).Must have good Excel and PowerPoint skillsAbility to appropriately handle confidential materials and information.Customer service orientation and collaboration skills.Attention to detail and accuracy.Ability to prioritize, plan and organize.BENEFITS:Salary is only a part of a well-developed compensation program.
