Description

The mission of the Facilities Department is to establish and maintain an environment conducive to learning, working, and living within the University of North Dakota community for its students, faculty, staff, and visitors.  The Director of Facilities Auxiliary Services position is responsible for the oversight of Transportation, Parking Services, Supply and billing functions of the areas that fall under the AVP Facilities.  The position reports directly to the Associate Vice President of Facilities.  Other areas of responsibilities of this position is the coordination of technology, reporting, and communication.  The position may require extended hours, including evenings and weekends to accommodate Facilities Management’s 24/7 operation.  

Duties & Responsibilities

Serve as back-up to the Director of Facilities Business Services when they are out of the office

Review and make recommendations for process improvements within designated and assigned areas to this position

Assist with project management and oversight when related projects emerge

Responsible to develop/disperse/interpret reports that assist the administration and staff with carrying out of job functions.  Reporting tools include, but are not limited to Info Builders, AiM Software and PowerBi.

Provide leadership with overall work order processes with AiM software, and act as back-up for the function as needed.

Work with other areas that are entering work orders such as the Operations Center and PDC Accountant to ensure data consistency.

Provide accurate and timely billing functions for charges.

Actively participate in Facilities and Finance meetings and serves on the facilities leadership team of facilities management

This position provides direct supervision for 4 direct employee's and indirect supervision of the staff that report to them

Services provided by the staff that report to the Associate  Director of Facilities Business Services include the following:  Parking Services functions for the campus, including permit selling, lot management and citations; Transportation services which include management and dispatch of the state fleet vehicles assigned to UND, the maintenance of those vehicles and also the maintenance of campus owned non-licensed equipment, and shuttle services as requested;  Supply and Warehouse that services items to facilities trades groups;  and the Work Order management and billing for all departments that report to the AVP Facilities.  Staff reporting to this position are also responsible for financial reporting and report development, including interpretation of the data.

Inventory of IT equipment for all departments that report to the AVP Facilities.

Recommend and coordinate purchases of IT equipment.  Coordinate with the CIO office to order the equipment.

Work with CIO office to ensure staff have access to appropriate network drives.

Coordination of software needs for department.

Coordinate the software app for use by internal departmental staff and customers, including providing training as needed.

Co-administrator of the system, along with the Director of Facilities Business Services

Manage security in system

Administrator of ReADY functions within software

Manage the dashboard

Coordinate system testing as needed

Contact with software vendor

Recommend and implement new functionality

Maintain configurations, and update as needed

Research issues with software and report to support as needed

 

Required Competencies

  • Must have demonstrated ability to establish and maintain effective working relationships with associates and others, organize and complete varied and numerous tasks within time constraints and perform tasks with a high level of accuracy.

  • Requires excellent organizational skill and attention to detail.

  • Requrires excellent computer skills.

  • Must have exceptional communication skills, both written and oral.

  • Must be able to communicate professionaly with the public, students, faculty, staff, and co-workers.

 

Minimum Requirements

  • Bachelor's degree in business, public accounting or related field

  • 3 years of directly related experience

  • 3 years of direct supervisory experience

  • Extensive experience with Microsoft Outlook, Excel, and Word

  • Valid driver's license

  • Successful completion of criminal history records check.

Preferred Qualifications

  • Masters degree in business, public accounting OR CPA license (must provide in application)

  • 5+ years of direct supervisory experience

  • Experience with PeopleSoft, AiM, AssetWorks, Info Builders or other report writing softwares

  • Project management experience

  • Experience with JavaScript

  • Aptitude for database functions

 

Minimum Hiring Salary/Position Classification

$ 85, 000 annual benefitted full time position; exempt 

Work Schedule/Start Date

Monday to Friday, 8:00am to 4:30pm.  The position may require extended hours, including evenings and weekends to accommodate Facilities Management’s 24/7 operation.
