Position Information

TITLE: Continuing Education (CE) Operations Coordinator

OVERVIEW: Continuing Education and TrainND, an extension of Bismarck State College, focuses on providing life-long learning and training opportunities for professional development and personal enrichment as well as conference management services. We are looking for a candidate to attend to the administrative and logistical details for the delivery of business and community training and conferences. This position would be ideal for someone that will thrive in our fast-paced and fun environment.

REPORTING RELATIONSHIP:

Is directly accountable and responsible to the CE Operations Manager.

Position Description & Details

Assists the CE Operations Manager with the administrative details of the department
  • Manage and coordinate open enrollment program logistics specific to the delivery and close out of each training or class to include social media promotion, food orders, facility requests, confirming class materials, evaluation reporting, and office support.
  • Assist with conference planning, coordinate conference logistics, and act as the conference liaison with presenters. This includes scheduling meetings, reserving facilities, recording conference committee meeting minutes, and attending conferences to assist with onsite coordination.
  • Generate, distribute, and track contracts.
  • Notify participants of canceled or rescheduled training or classes through email, phone, or text.
  • Act as a liaison with clients, outside agencies and campus personnel.
  • Edit video of recorded classes.
  • Create documents, forms, certificates of completion, and other material as needed.
  • Provide backup phone communication and office reception.
  • Work collaboratively with the operations team to ensure quality of each customer experience. This may include occasionally working outside of normal office hours to provide technical assistance for online classes, conferences, or events.

Create, maintain and assure the integrity of all data within the registration database
  • Proofread and input data from class entry forms into registration database.
  • Regularly monitor database information to maintain data integrity.
  • Ensure data security procedures are followed.
  • Understand how to format reports to reflect requested data accurately.
  • Approve instructor earnings within registration database upon receipt of the signed contract.
  • Enter participant attendance and/or grades in registration database.

Maintain knowledge of CE processes, procedures and registration database
  • Become adept with the use of the registration database.
  • Assist in creating, maintaining and documenting CE procedures and make revision recommendations when needed.
  • Continue individual professional development by attending appropriate conferences and/or training to stay current with technology, registration database capabilities and best practices related to assigned responsibilities.
  • Provide and receive proper support coverage and cross training when appropriate.

Miscellaneous duties
  • Support innovation, creativity and ideas to improve/enhance processes, functions, etc. in the CE and as a whole for the college.
  • Perform other duties as assigned.

Minimum Requirements

  • Appropriate associate degree in business administration, office technology, etc.
  • Three years working experience in project coordination; a bachelor's degree in lieu of experience is accepted.
  • Proficient in general office procedures and a good working knowledge of computer software programs (i.e., Microsoft Word, Excel and Access, Outlook, Canva, Blackboard Collaborate Ultra, Yuja, etc.).
  • Customer service skills with the ability to create a positive impression of CE and the college.
  • Ability to effectively time manage, multi-task, use initiative to meet deadlines, and ability to recognize areas of improvement while offering solutions.
  • Self-starter, approachable and ability to promote training.
  • Excellent interpersonal/oral/written communication skills.
  • Ability to coordinate, organize and handle multiple priorities.
  • Detail oriented, able to set priorities and objectives.


Preferred Qualifications

  • More than three years directly related experience
  • Experience within an education or event management working environment.
  • Demonstrates a high aptitude for learning and self-direction in computer programs.
  • Experience entering data into a database software.
