HR Compliance Analyst

Department Purpose

People Operations is the administration function supporting and driving a suite of processes and compliance tasks across the employee life cycle.

Gannett Co., Inc. is seeking an HR Compliance Analyst, People Operations with experience in serving multi-layered, complex organizations. This People professional will report to the Manager, People Operations, and will drive the development and execution of HR related compliance tasks and reporting.

Job Purpose

This HR Compliance Analyst role will design and conduct thorough audit reviews of people operational processes utilizing various testing methods to detect compliance exceptions related processes. In addition, the HR Compliance Analyst will develop and deliver HR compliance training to the People Team or a specific HR function because of an identified compliance risk or on an as needed basis.

This role will act as a Subject Matter Expert (SME) supporting projects for the People Team and ensures that all compliance related legal and regulatory requirements are addressed prior to implementation and execution. This individual must be results oriented and self-driven; proactively identifying and analyzing potential risk areas for the HR department.

Duties and Responsibilities

Independently lead HR Compliance Reviews/ Testing to identify risks to the company and instances of non-compliance with internal processes or federal and/or state laws and regulations. Leverage subject matter expertise to develop and recommend remediation plans for identified issues. Manage internal compliance with HR Compliance Review/Testing schedule and recommend changes/alterations to the HR Compliance Manager, when necessary.

Support and execute the unemployment claims process and partner with vendor; support case management escalation; maintain process document and train HR Business Partners for case responses and hearing requirements

Support and execute the I9 verification process and partner with vendor; support case management escalation; maintain process document and train HR Business Partners and site verifiers for vendor platform; key point of contact and knowledge base for I9 process and immigration/visa requirements; drive process improvements across integrated teams

Proactively monitor business processes with a focus on compliance with legal and/or regulatory requirements to identify opportunities for improvement or areas of deficiency. Cultivate suggested improvement and/or remediation initiatives when necessary.

Support responses for documentation requests from HR, Payroll, Legal, Internal/External Auditors or Regulatory Agencies

Champion and lead efforts around personnel file archive/retention including maintaining digital and physical records; develop and lead regular audits and reporting, while ensuring accuracy and compliance for all records in conjunction with record retention policies and related initiatives.

Lead and facilitate HR special projects.

Drive positive Team culture through communications, proactive collaboration and demonstration of company values.

Qualifications

Bachelor's degree

Human Resources experience preferred, with emphasis on HR operations, policies, compliance, and generalist role.

Excellent written and verbal communication skills

Advanced proficiency in Excel required

Strong time-management skills; highly organized and able to multi-task, prioritize and be resourceful

Ability to proactively anticipate problems, identify opportunities and confidently define solutions to address business needs

Motivated professional with mindset for continuous improvement and development, and customer focus; collaborative work style across Teams and solution oriented
