Overview

Human Resources Assistant full-time benefited position 40 hours per week - Monday through Friday 8am to 4:30 pm.

Under the direct supervision of the Human Resources Manager, the individual performs and provides technical support, accounting, record maintenance, and detailed office function for the Human Resources Department.

The Human Resources Assistant will be responsible for posting, processing and maintenance of applicant and employee personnel record systems, collect applicant and employee information.

Responsibilities

  • Responsible for maintenance of a variety of files and recordkeeping systems including hospital policies, department procedures, applicant and employee files, health screening programs, orientation information, and applicant tracking system. Responsible for the use of an online application for incorporation into hospital web page
  • Responsible for recruitment activities including: listing positions, overseeing the internal posting system, placing advertisements, working with department managers to identify qualifications required for available positions, scheduling interviews with the appropriate manager/supervisor, checking references by phone or email, making offers to candidates with approval of department managers, and ensuring that an offer letter is generated. Schedule pre-employment screens and onboarding. As directed by Human Resource Manager. Ensure all paperwork is complete and accurate.
  • Responsible for answering the phone professionally and directing as appropriate, filing, scanning, and distribution of incoming mail on a daily basis.
  • Responsible for creating new hire packets and benefit packets, creating badge, employee health paperwork, new hire checklist, and employee file checklist.
  • Assist with ensuring that job descriptions are up-to-date and reviewed annually by department managers.
  • Use media equipment such as copier, scanners, digital cameras, video equipment, and computerized overhead projection.
  • Assist with updates and accuracy of Human Resource policies on TheCore.
  • Responsible to ensure licenses and OIG are up to date and that proper notices have been sent to the employee and managers.
  • Acts as the backup for the Payroll and Benefit functions such as processing payroll, distributing reports, assisting employees, and assist with answering questions.
  • Utilizes the software applications system, performs a wide variety of typing assignments, which may be confidential in nature including offer letters, applicant letters, minutes, reports, correspondence, hospital policies, department procedures, and special projects.
  • Coordinates the Hospital/Organizational Excellence Orientation including scheduling of new employees, presenters, meeting rooms, and equipment.
  • Assists with employee service award program and other employee activities.
  • Assists the Workforce Safety and Insurance Coordinator with the Near Miss/Injury Incidents. Serves as the backup for online claim submission.
  • Assists in ensuring the hospital's official bulletin board/HR office display is in accordance with posting guidelines and prepares articles on benefits and employee-related items for the official hospital publication.
  • Assist in the ordering of office supplies for the Human Resources Department and staying within allotted budget standards.
  • Maintains employee photos on the media drive for badges/remove when terminated.
  • Monitoring contract staff and students employee information is current and accurate.
  • Performs other related duties as assigned or requested.


Qualifications

High School Diploma

One to three years' of office experience preferred. Must be proficient in Word, Excel, Outlook, Powerpoint, and other software applications, Must be adaptable and willing to learn user specific programs. Familiarity with web and database applications preferred.
