Executive Assistant
Robert Half Talent Solutions is seeking an Executive Assistant to perform a variety of administrative tasks and support for the CEO of a leading real estate company in southern Wisconsin. The Executive Assistant's responsibilities include managing calendars, making travel arrangements and preparing expense reports and project coordination. To be successful in this role, you will be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of the business by providing personalized and timely support to executive members.
Responsibilities include but not limited to:
- Act as the point of contact among executives, employees, clients and other external partners
- Work with the Program Management Office lead to prepare executive-level portfolio reviews providing insight into the status of business transformation initiatives managed by the direct reports to the CEO
- Facilitate / support the onboarding ofExecutives and CEO Direct Reports
- Manage information flow in a timely and accurate manner
- Manage executives' calendars and set up meetings
- Make travel and accommodation arrangements
- Track daily expenses and prepare weekly, monthly or quarterly reports
- Act as an office manager by keeping up with office supply inventory
- Format information for internal and external communication - memos, emails, presentations, reports
- Coordinate meetings and conferences and take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Develop and maintainaneffectiveelectronicfiling system for the management team
