Under limited supervision, performs logistic support to COVID-19 related testing events. Incumbent must be detail oriented. Problems may require intermediate analysis and interpretation of data. Only the unusual cases, where there is no precedent established, are referred to a supervisor.
 

PRIMARY RESPONSIBLITIES:

The Logistics Support Associate is responsible for the quality and accuracy of his or her own work and compliance with federal and state regulation. Does not supervise, but may be asked to assist the supervisor by providing training or work direction to other support staff.

Essential Duties and Responsibilities:

1.1  Ensure test teams have the testing material available at the times and locations needed.
1.2  Order resupply of personal protective equipment with State Warehouse and maintain adequate supply;
1.3  Using knowledge of RRVTF operations and Testing Strategy, resolves most issues that relate to testing and lab procedures;
1.4 Effectively communicate with testing customers to ensure testing requirements are achieved to meet customer needs that are appropriate to RRVTF Testing Strategy;
1.5  Refers issues and concerns to the appropriate party for resolution as necessary;
1.6  Exercises courtesy in communicating with other members of the Task Force, nurses and test team to ensure continued working relationship;
1.7 Coordinate and provide input to testing teams and nurse staff coordinator in weekly synchronization meetings;

2    Provides Logistical support for all matters relating to the Covid-19 testing in Region 5.
2.1 Provide information to state personnel to ensure testing labels are prepared for every day’s testing;
      2.2 Accurately track and manage test kit and packaging supply inventory on a daily basis.
      2.3 Accurately track and manage all protective equipment (PPE) for
Region 5.
2.4 Assist with building test kits to include preparing coolers, racks, ice and data collection sheets    for multiple testing locations conducted daily;
2.5 Restock inventory received in weekly shipments;
2.6 Provide delivery of test kits to customers as needed in a timely manner;
2.7 Perform spot checks to ensure paperwork matches intended test kit delivery numbers 
3.1   Processes forms, application and other documents by reviewing forms for completeness,
verifying information, performing necessary calculations, entering data into a computer system;
3.2   Makes copies of materials;
3.3   Maintains an office filing system;
3.5   Tracks and monitors the PPE supply inventory and arranges for replenishment of items as necessary, researching options for purchasing decisions
3.6   Assists with picking up of supplies, moving and delivering inventory.
4   Performs all job duties in compliance with safety guidelines and with an ongoing awareness of safety practices.
4.1   Knows and follows department and city rules as well as sound work and safety practices in order to accomplish the job objectives and avoid injury or loss;
4.2   Wears proper protective equipment when policy requires or conditions indicate a need exists and utilizes proper body mechanics and ergonomics while performing work;
4.3   When potentially unsafe conditions are observed makes efforts to avoid or correct them if they are controllable and draws them to the attention of the responsible supervisor or safety representative in a timely manner.
5   Performs other duties and activities as assigned.

7   Respond to Public Health Emergencies
7.1  Will fulfill roles within the Department’s Emergency Operations Plan as determined by Emergency Preparedness and Management staff.
7.2  During an actual emergency, will be accessible 24/7 with an established family contingency plan in place.
8   Performs receptionist duties at the information desk and perform COVID-19 interviews before allowing public on site.
9   Assists POA with wide range of duties in the Department Operations Center

MINIMUM QUALIFICATIONS: The job requires a high school diploma or equivalent (G.E.D.). The job requires two years of experience involving information dissemination, records organization and retention or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. A driver’s license may be required.

Knowledge, skills and abilities include:

  • Requires math and algebra sufficient to set up spreadsheets with basic formulas; using qualitative and quantitative efficiency.
  • Requires strong attention to detail while multitasking.
  • Requires basic knowledge of governmental administrative practices including supply chain, inventory, purchasing and records administration;
  • Requires advanced knowledge of Microsoft Office applications;
  • Requires excellent customer service skills;
  • Ability to establish and maintain effective working relationships with others.

PHYSICAL DEMANDS:

Most work is performed in a fast paced, warehouse type environment. Work requires extensive use of a computer, telephone, and other office equipment. Work is generally medium with considerable variety. Frequent lifting and moving of boxes and materials as well as picking/assembling orders at temporary and static sites and unloading trailers is required. There is considerable attention to detail and deadlines. Intermittent travel to other offices is required to attend meetings. The job may involve dealing with and calming individuals who are emotionally charged over an issue.
Activities include stooping, standing, walking, lifting, fingering, grasping, feeling, talking, hearing/listening, seeing/observing, repetitive motions.
Medium Work: Physical demands are normally those associated with medium work: Exerting up to 50 pounds of force occasionally and/or 10 pounds of force frequently, and/or negligible amount of force constantly to move objects.
The job may require dealing with individuals who are emotionally charged.
