The Executive Assistant is responsible for managing the schedules and communications of key company executives. This person needs to be a master multi-tasker with excellent communication skills and an upbeat attitude. To be successful, this person should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. This individual have excellent written and oral communication skills to successfully interact at all levels internally and externally including executive and customer facing.

Responsibilities

  • Act as the point of contact between the executive and internal/external clients
  • Undertake the tasks of receiving calls, taking messages and routing correspondence
  • Managing the executive's calendar, including making appointments and prioritizing the most time sensitive matters
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Make travel arrangements such as booking flights, cars and making hotel and restaurant reservations
  • Facilitate expense reporting
  • Track and execute renewal of memberships and subscriptions
  • Coordinate shipping and receiving of packages
  • Perform all other duties as assigned.


Qualifications

  • Associate's degree required, Bachelor's degree preferred.
  • Prior administrative assistant experience a plus
  • Discretion and confidentiality is of utmost importance
  • Strong written and verbal communication skills
  • Ability to work in high intensity, fast-paced environment
