Construction Onsite Project Coordinator

Minnetonka, MN

System One is currently seeking a Construction Onsite Project Coordinator for a contract position located in Minnetonka, MN.

This position will be with our client, a utility holding company serving more than 3.3 million electric customers and 1.8 million natural gas customers.

Construction Onsite Project Coordinator Responsibilities:

  • Items that need to be completed to make the construction group more efficient and making them more cost effective
  • Benefit meal payments
  • Expense/BMO account maintenance
  • Payroll/Fiori monitoring and adjustments
  • Provides back up for Sr. WC with scheduling, documentation for crews, locates etc
  • Working with Q3 on restoration status when customer has questions
  • Running OT reports for maintaining list for service centers weekly union requirement
  • Typical daily tasks would be (but not limited to) for Maple Grove, Shorewood and Waconia Service Centers:
  • Ensuring all crew time is recorded and submitted accurately and in a timely manner, input BA's into Mainframe and accurate spreadsheet, track meal money on spreadsheet, put into Mainframe, ensure work orders are correct, pay out meal money on site, poll crews for scheduled or outages after hours when needed and update SharePoint and team members
  • Report red time for crews and input into Mainframe accordingly, submit any expense reports such as new boots or crew mileage, ensure payroll close for crews and design are accurately reported and hit Mainframe correctly and before deadline, close jobs completed by local crews accurately and in a timely manner, ensure jobs are in correct status, external charges cleared and material reconciled, create conversations in AldenOne for CATV transfers and keep track of when they are complete
  • Work with design, crews, and co-workers on job closing tasks, and daily miscellaneous work
  • Maintain crew's status in Arco's, back-up for Operations Coordinator, run crews when they are out, ensure their daily tasks are completed and help with calling for hydro-vacs, traffic control, restoration, etc
  • Ensure restoration is being completed in a timely manner, make updates in SAP
  • Work with outside vendors on any inaccuracies or issues within the work orders or checks not clearing
  • On Friday's at noon update crew's Low OT list and update SharePoint for OH and UG crew composite lists
  • Dispatch jobs to crews during storm season or as a back-up for the Operations Coordinator, call in for locates when asked, request WO's, PR/PO's from CoE correctly
  • Request I/O's and PO/PR's for capital tools, keep track of purchases and budget
  • Maintain and request meal money budget accordingly, keep records of meal slips from crews, especially during storm season and request checks from accounts payable when meal money is getting low
  • Update apprentices status and location during rotations, update SAP and Mainframe for new crew members, update Arco's, SAP and Mainframe for 10 hour crew shift changes
  • Put in / correct crews time, especially for short term disability, PAN, and injuries
  • Be familiar with union rules / regulations and be able to utilize programs such as, SAP, GIS, AldenOne, SharePoint, Oracle, Click, Mainframe, Arco's, Microsoft Teams, Microsoft Word and Excel Spreadsheet
  • Support other operations specialists / coordinators / managers and co-workers when needed
  • Keep up to date on job closing duties, such as CoE duties, JCCL's, regulations and requirements for time and cost inaccuracies, update maps and collect correct signatures from crew, add in notes when needed, join WO Reconciliation meetings for any changes, submit for extensions during winter restoration breaks, submit for journal entry's when jobs are reported incorrectly, know the difference of O&M work vs. Capital, ensure all aspects are accurate and completed in full before closing out, work with design to complete tasks, reconcile material with stores when needed, adding in anti-material when appropriate and stay up to date with changes and new policies

Construction Onsite Project Coordinator Requirements:

  • High School Diploma or GED
  • This position will need to come into the office one or two days a week
  • Self-sufficient, willingness to learn, any kind of PM or construction background (preferred)
  • Adaptable, detail oriented and willing to help others
  • Team culture - department is electrical construction
  • The team goal is about meeting customers' needs for power and responding to emergency outages keeping the customers lights on
  • Excellent oral and written communication skills are required
  • Must have strong knowledge of MS Office

Duration: 12-months

Location: Minnetonka, MN

Pay Rate: $24.45/hr.
