Position Summary:
Administrative Services personnel are dedicated to providing excellent records and information management support to all areas of the company using a variety of electronic and physical information management techniques.

Essential Responsibilities:
Job Function 1: Information Management Support - 90%
  • Prepare paper documents for imaging, which includes identifying the documents by visual recognition.
  • Operate scanner and Nautilus software to image paper documents and index them with acute attention to quality of image and strict attention to detail of keyword metadata entered.
  • Import electronic records to Nautilus using various methods, identifying documents by visual recognition and with strict attention to detail of keyword metadata entered.
  • Maintain processes for quality control, document integrity, and document maintenance for all images housed in Nautilus, regardless of origination.
  • Create, file and maintain all paper documents required to be retained after imaging.
  • Assist in retention management for paper and electronic documents, including disposition of paper records and deletion of electronic data where authorized to do so and in compliance with retention policy and regulations.
  • Maintain accurate inventory of all records systems, including both on-site and off-site storage facilities, and assist in performing scheduled inventory reviews of paper records in compliance with audit control standards.
  • Lower risk by ensuring security of and access to records and records facilities; follow established safety procedures of all office equipment.
  • Effectively troubleshoot issues within systems or processes and evaluate existing processes and tasks to identify opportunities to improve.
  • Perform document maintenance tasks and fulfill client requests within workflow processes using multiple software solutions including content management systems, web-based programs, and databases.
  • Assist in special records projects at the direction of the Information Management Supervisor, including assistance with tasks related to acquisitions.


Job Function 2: Maintain industry, system, and product knowledge - 10%
  • Provide prompt, courteous service to all internal and external customers and vendors using critical thinking skills and process knowledge.
  • Respond to or complete customer requests within defined turnaround times and meet expectations for all established service level agreements.
  • Be able to efficiently locate electronic and physical documents and understand commonly used search and archival techniques.
  • Assist with coverage tasks, including answering phones, assisting in-person customers, and sorting/scanning incoming mail.

Position Requirements:
Qualifications:
  • High school diploma or GED required.
  • 2 years of experience in a records management or document imaging environment; or equivalent combination of education, training, and experience.
  • Knowledge of Microsoft Windows and Office, including word processing, spreadsheets, and database applications.
  • Demonstrated accurate and efficient data entry skills.
  • Technical aptitude including experience working with document imaging software.

Physical Demands - Must be met with or without a reasonable accommodation:
  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
  • Extended time is spent reviewing physical and electronic documents.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 40 lbs.
  • Will spend most of time in an indoor environment.
  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
