American Crystal is looking for a self-motivated individual to join our team as an Assistant to the President. This position will assist the President/CEO, Board of Directors and Finance Department with various administrative duties by providing administrative support following established policies and procedures in performing duties. Organizes, plans, and expedites the flow of work based on knowledge of the department's and company's method of operation.

The principal accountabilities include, but are not limited to:
  • Lead and promote a positive workplace culture through the ACSC mission vision and values. Promote teamwork and collaboration, build and maintain trust with others in the organization, maintain a high level of quality in work performed, listens, communicates and brings out the best in others, accountable for actions and results.
  • Provides administrative assistance to the President/CEO and the VP Finance/CFO relieving them of various administrative responsibilities and duties. Processes all incoming mail to the President and Finance Department, maintains the President's schedule, coordinates his meetings and retreats with his staff members, the Board of Directors and outside business contacts and may provide materials for these functions. Answers President/CEO phone, arranges the President's travel, and serves as the primary contact for information requested of the President.
  • Carries out administrative functions and special projects as assigned.
  • Provides and exchanges information frequently, responds to questions, interprets facts and information, explains situations and issues and advises of alternatives. Maintains close regular contact with all departments, growers, and Board members.
  • Prepares as directed and maintains the President's and Board of Directors' budgets and monitors expenditures to insure proper management and distribution of funds. Audits expense reports of the Board of Directors to ensure accuracy and compliance.
  • Assists the Board of Directors with administrative duties in connection with the factory district meetings (board elections) and annual meetings; coordinates all present and former board member activities as well as joint meetings with the Red River Valley Sugarbeet Growers Association board; and arranges travel for the Board.
  • The Assistant to the President interacts with Chairman and Board of Directors, vice presidents and management staff and all employees in coordinating administrative activities. Interfaces with growers, key federal and state legislators and trade association officers.
  • Maintains Corporate Office legal files.
  • The incumbent prepares inter-company monthly billing summaries for Midwest Agri Commodities and United Sugars Company. Compiles overall invoice from various sources and ensures reconciliation with the general ledger. Additionally, this position serves in a backup role to prepare corporate bank deposits.
  • Plans and coordinates significant meeting events to include shareholder Factory District Meetings and Annual meeting in coordination with the Communications Manager.
  • Schedules all Board meetings and arranges venues and meals for these meetings. Gathers meeting materials from Executive staff and makes the materials available to Board members and staff in the Board meeting portal.
  • Provides financial administrative support to the Political Action Committee (PAC) including the recordkeeping on the AS400.
  • Coordinates and manages Transystems truck haul payments for all factory locations. Maintains spreadsheet, completes wire transfer, and resolves issues with Transystems and factory Ag offices.


Minimum Requirements

  • Two year associates degree with 5 to 7 years of administrative experience.
  • Strong organization and planning skills, attention to details, and seasoned interpersonal and communication skills to effectively work with all levels of internal staff and professionally represent the President/CEO's office in communications with shareholders, legislators and other external contacts.
  • Knowledge of the organization's operating functions, Board of Director activities and scope of authority of the President's office is necessary.
  • Because of the confidential and sensitive aspects of this position, the incumbent must have a high degree of discretion and professional ethics.
  • Administrative abilities including secretarial skills, business writing, and proficiency in Microsoft Office word, excel and power point applications.
  • The position also requires sound judgment, decision-making and organizational abilities as well as flexibility.
