General Summary

The Office Manager/OA is responsible for plant personnel matters, compliance with HR government and corporate regulations, compliance with accounting policies, and for planning, directing and coordinating the administrative office functions.

Principal Duties/Responsibilities

  • Works closely with plant management to assist with their staffing needs o Posting jobs and screening applicants o Managing temporary agencies and employees o Compliance with pre-employment drug test screening

  • Oversees new hire and orientation process.

  • Ensures all new hires have access to the Employee Self Service system and complete their benefits enrollment.

  • Ensures employees have access to IPay to view and print their paystubs.

  • Ensures time and attendance system is accurate, and submits hours to the Payroll department on-time for processing.

  • Identify, research, and resolve Administrative problems and opportunities

  • Assist/troubleshoot Accounting functions in accordance with established procedures and Company policy

  • Cross train and fill in as necessary for Admin Personnel

  • Review Internal Control Checklist with Management

  • Ensures the plant complies with Federal, State and Company personnel laws and regulations, and HR policies and practices

  • Distributes and post communication pieces and materials throughout the office and the plant as necessary * Ensures the plant provides HR support to and assistance to employees

  • Prepare and project cash flows and requirements

  • Ensures all personnel documents are scanned into OnBase to be filed on the employee's personnel file

  • Completes special projects as needed.

  • Performs other duties as required


Requirements

Knowledge Required

  • Minimum of Bachelor's degree in administration, business or related area, or equivalent experience

  • Minimum one to three years of experience in office administration or related areas.

  • Working knowledge and proficiency in the use of computer and business related software, including Microsoft applications (excel, word and Outlook)

  • Working knowledge of various office equipment (computer terminal, scanner, etc)

Skills and Abilities

  • Proficiency in the use of the English language in reading, writing and speaking

  • Proficiency in the use of business math

  • Ability to understand accounting and financial data

  • Ability to maintain and safeguard confidential and sensitive information

  • Ability to successfully communicate with all organizational levels

  • Ability to communicate clearly via phone and email with plant administrators and co-workers

  • Ability to work hours mandated by management

  • Ability to pass a drug test
