Description

The Aircraft Dispatcher will provide a high level of customer service for University of North Dakota John D. Odegard School of Aerospace Science flight training students and instructors. The position provides phone and over the counter support for scheduling, dispatching, processing of flights, and other aviation flight training related request from students, instructors and/or support staff.

Duties & Responsibilities

  • Processing request for Scheduling, Dispatch, and Invoicing for students/instructors.
    • Process request for flight training scheduling in accordance to established procedures and guidelines this includes. permanent schedule setup or removal.
    • Scheduling request may be by phone or over the counter.
    • Monitor flight scheduling for abuse or potential scheduling problems.
    • Process flight dispatching in accordance with established policies and procedures and ensure that the crew meets the established requirements.
    • Invoice flight and ground briefing promptly and file all documents according to established procedures.
  • Processing request for information, data, and essential materials for students/instructors or supervisor.
    • Process request for data or services requested by student/instructor.
    • Process request for data or information requested by supervisor.
    • Run reports and investigate scheduling, invoicing and dispatching of flight information.
    • Process information and route information, data or materials to designated individuals or departments.
  • Communicate with maintenance, line, Safety Officer of Flight (SOF) and Manager on Duty (MOD).
    • Coordinate with the SOF for flight activity, status and other weather related flight activity.
    • Coordinate with line personnel for all aircraft movement and notification.
    • Request from line periodic updates on aircraft movement and hangar diagram update.
    • Monitor and coordinate with maintenance aircraft requested for schedule maintenance (AM and PM).
    • Coordinate with maintenance on unscheduled aircraft maintenance and update maintenance on schedule needs.
    • Update supervisor on aircraft demands as needed.
    • Update MOD on any dispatch related issues.
  • Other daily functions and duties.
    • Process opening and closing according to established procedures.
    • Answering of phones promptly.
    • Assist with the supervising of student and part-time employees.
    • Process corrections as requested or required.
    • File all flight and department documents according to establish procedures.
    • Monitor flight activity.
    • Monitor aircraft needs based on scheduling and maintenance requirements.
    • Assist with all aspects of flight lab registration.
  • Other administrative functions and duties
    • Process end of the month reconciliation and procedures.
    • Process all flight records for achieving, filing and/or destruction.
    • Assist with air transportation information gathering or flight scheduling.
    • Provide input or recommendations for department Standard Operating Procedures (SOP) updates.
    • Assist and prepare reports for the supervisor as requested.
    • Train and provide support for new employees.
    • Other department duties as assigned.
    • Provided all aspects of evening supervision for the department.

Required Competencies

  • Strong written and oral communication skills.
  • Must be able to multi-task and have excellent interpersonal skills.
  • Must have strong computer and keyboarding skills.
  • Ability to work a diversified hourly schedule.
  • Ability to work with limited supervision.
  • Strong attention to details.

Minimum Requirements

  • Must have at least 2 years of customer service experience.
  • Experience with MS Office (including Excel and Access) and Windows.
  • 1-2 years of supervisory experience.
  • Successful completion of criminal history records check.

  • Experience working in a college setting, and/or with students from diverse backgrounds.
