Position Summary:

This position is responsible for ensuring the clients walking into the Alerus office are greeted and assisted to the appropriate area, as well as providing administrative support to the Advisors, Associates, product and staff areas. This requires providing superior client service to internal and external clients in person and over the phone and basic knowledge of our products and services that enhance the financial fitness of our clients.

Essential Responsibilities:

Job Function 1: Provide clients superior client service while supporting and assisting Advisors, Associates, product and staff areas - 60%
  • Build and establish rapport with clients by identifying clients by name, greeting clients with a smile and handshake, introducing yourself, providing personalized service, and thanking clients for stopping in as they depart.
  • Answer the telephone and direct calls utilizing proper phone standards.
  • Acknowledge client complaints and issues and direct to appropriate area for resolution.
  • Greet and guide clients to appropriate areas, accommodating their needs while they may wait, such as providing coffee, water, magazines, etc.
  • Acknowledge and prioritize multiple client demands (in person and over the phone) to provide maximum service levels.
  • Assure and maintain vendor and guest sign-in log for security purposes.
  • Develop and maintain product and service knowledge to assist clients and answer questions, assisting with problem resolution as needed.
  • Maintain knowledge on using client systems to access data, such as the CRM and Nautlius.
  • Assist in the client review process, to include gathering information from various systems and sources.
  • Gather appropriate information and coordinate development of client proposals and client reviews.
  • Assist in arrangements for client meetings and events.
  • Coordinate ordering and delivery of client gift requests.
  • Coordinate client requests for new accounts, loan closings, etc.
  • Maintain on-site collateral material for client calls.
  • Coordinate requests for client information from records or operations areas.
  • Attend department and project meetings as necessary.
  • Coordinate donation requests.

Job Function 2: Assist branch operations with day-to-day administrative responsibilities - 30%
  • Reserve meeting rooms and ensure rooms are ready for client appointments or internal meetings.
  • Maintain supplies and appearance of productivity centers in the area.
  • Collect, sort and route incoming and outgoing mail for area.
  • Maintain beverage supplies and appearance of coffee area for clients.
  • Direct overflow and zero-out calls to appropriate areas.
  • Assist with ordering food and providing beverages for client or employee meetings as requested.
  • Provide assistance on special projects for other areas as requested.
  • Assist with preparation of mailings, stuffers, and other projects as requested.
  • Provide general office support such as faxing, proofing, document creation, etc. adhering to defined brand standards and procedures.
  • Maintain appropriate client communication through birthday and holiday cards.
  • Awareness of employee whereabouts for client questions, branch coverage, sign in/out vendors that will be working in secure/sensitive areas.
  • Provide excellent client service to employees when receiving or fulfilling service requests.
  • Provide clear communication to clients and employees regarding project turnaround times or standard service levels.

Job Function 3: Industry Knowledge - 10%
  • Develop and maintain knowledge of Alerus products and services.
  • Develop and maintain an awareness of current economic and market conditions.
  • Maintain knowledge of financial services industry and keep up with changes in regulations.

Job Function 4: Technical Support - Based on office activity and staffing levels, these functions may or may not apply to the position, the % of time will fluctuate.
  • Serve clients by accepting deposits and payments for loans and credit cards.
  • Assist clients by issuing, redeeming, and settling all travelers' checks, savings bonds, cashier's checks, check orders, etc.
  • Effectively serve our clients by promptly responding to and resolving all balance inquiries, client questions, and problems in person or over the phone.
  • Maintain a balanced teller cash drawer, adhering to cash limits and offage procedures.
  • Prepare client and operations documentation such as researching requisitions, checks, etc.
  • Manage client debit card instant issue and PIN changes (at applicable locations).
  • Field debit card and fraud notifications
  • Support and adhere to policies and procedures around security, client ID, cash handling, cashed check, and opening and closing procedures.
  • Understand and apply regulatory and compliance training.
  • Report suspicious transactions, activities, and situations to appropriate personnel.
  • Effectively serve our clients by promptly responding to and resolving balance inquiries, client questions, and problems.
  • Prepare client and operations documentation such as researching requisitions, checks.

Position Requirements:

Qualifications:
  • High school graduate or equivalent minimum required.
  • Previous financial services and client service experience preferred.
  • Administrative office experience required.
  • Previous work stability, attendance, and punctuality.
  • Computer skills, including familiarity with Microsoft Office suite.
  • Ability to learn new computer programs.
  • Flexibility to attend morning or evening meetings or events.

Physical Demands - Must be met with or without a reasonable accommodation:
  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
  • Extended time is spent reviewing physical and electronic documents.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 50 lbs.
  • Will spend most of time in an indoor environment.
