Ajilon is seeking an Executive Assistant for a global client in downtown Minneapolis. This position will be partial on-site/partial remote and priority will be given to those with previous financial services industry experience, although all are encouraged to apply.


The Executive Assistant role is primarily responsible for providing administrative support and clerical assistance to the Senior Partners of the firm. This role is acting as the administrative point of contact between Partners and internal/external clients and is responsible for tasks such as coordinating meetings, arranging travel and helping with related projects.


The Executive Assistant is an individual who has strong project execution, communication and organizational skills with attention to detail. This position requires an individual who can anticipate a variety of requests and demands and communicate concisely and professionally on behalf of those they support.



RESPONSIBILITIES

  • Help coordinate and manage daily calendars
  • Plan and prepare for daily appointments and weekly meetings; manage meeting logistics including arranging for catering, location, supplies and other logistics as needed for internal and external meetings with employees, clients, vendors and others as necessary
  • Coordinate travel arrangements
  • Manage fiscal responsibilities for Executives
  • Record, type and distribute meeting minutes
  • Prepare and process expense reports
  • Prepare and edit correspondence, communications, presentations and other documents, often responding on behalf of executive
  • Document action items and track status of action items
  • Prepare status reports when requested
  • Oversee vendor management function
  • Provide facility management services
  • Provide employee on-boarding (order supplies, set up equipment and work location, etc.)
  • Coordinate logistics for company events and conferences


QUALIFICATIONS

  • Bachelor's degree or equivalent experience
  • Minimum of five years providing support for mid/upper-level management in a related organization
  • Expert level working ability in calendaring using Microsoft Outlook. Proficient with Microsoft Office (Word, PowerPoint, Visio, Excel). Proficient with conferencing technologies
  • Ability to exercise good judgment in a variety of situations, ability to maintain confidential information, ability to maintain a realistic balance among multiple priorities
